SUMMARY
We are seeking a highly organized, professional, and proactive Executive Assistant to provide dedicated support to the Chief Commercial Officer (CCO) and Chief Marketing Officer (CMO). This dynamic role requires extensive coordination, effective multitasking, and seamless communication, ensuring the CCO and CMO are fully supported in their day-to-day operations. You will play a crucial part in both executive and administrative functions, with responsibilities including managing travel arrangements, scheduling, liaising with key stakeholders, and supporting both domestic and international initiatives.
The ideal candidate will be comfortable with a fast-paced environment, handling multiple projects simultaneously while working closely with the broader executive leadership team, including the Director of Operations and other senior assistants. Your role will involve interacting with high-level external stakeholders, and internal teams, ensuring that the executives’ priorities are met and their time is managed effectively. This position requires a proactive, detail-oriented approach to anticipate needs and provide efficient, high-quality assistance.
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Provide comprehensive administrative support to the CCO and CMO, including managing calendars, scheduling meetings, and coordinating logistics.
- Organize and arrange extensive domestic and international travel, including accommodations, ground transportation, and detailed itineraries.
- Serve as a liaison between the CCO, CMO, and internal/external stakeholders, ensuring clear communication and timely follow-up on action items.
- Assist with preparing meeting materials, presentations, and reports for high-level business reviews and strategy sessions.
- Maintain confidentiality, discretion, and professionalism when handling sensitive or proprietary information.
- Coordinate executive events, conferences, and off-site meetings to ensure smooth execution.
- Support and collaborate with the broader leadership team, working closely with the Director of Operations, Chief of Staff, and other assistants to ensure efficient coordination of executive activities.
- Ensure CCO and CMO are well-prepared for all meetings and engagements by tracking action items, deadlines, and critical follow-ups.

EDUCATION and/or EXPERIENCE and SKILLS
- High school diploma required. Bachelor's degree in Business Administration or related field preferred.
- 3-4 years of experience as an Executive Assistant supporting senior leadership (C-level suite)
- Excellent time management skills with a proven ability to meet deadlines.
- Excellent organizational skills and attention to detail and able to coordinate multiple concurrent projects.
- Excellent verbal and written communication skills.
- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Extremely proficient with Microsoft Office Suite (Outlook, Calendar, Word, Excel, PowerPoint).
