The Opportunity
We are seeking a highly capable Executive Assistant to provide strategic administrative and operational support for our CEO and Chairman. This role is ideal for someone who can take direction with limited information, independently execute tasks, and ensure that projects move forward efficiently – holding others accountable when needed. Flexible work scheduling options are available, including flex-time and less than full-time arrangements.
Key Responsibilities:
- Organize office operations and maintain executive files and correspondence.
- At least 5 years of executive level administrative experience.
- Serve as a liaison between executives, senior managers, and external partners. Track projects, follow-up and ensure deadlines and deliverables are met.
- Work on assignments with limited instruction, demonstrating sound judgement and proactive problem- solving.
- Coordinate and assist in preparing financial, tax, and support accounting, bookkeeping, and reporting functions using QuickBooks.
- Manage complex calendars, appointments, meetings, and travel logistics
Qualifications:
- Bachelor's degree and experience in the financial services industry preferred.
- Minimum 5 years of high-level administrative experience.
- Proficiency with QuickBooks and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills and attention to detail.
- Ability to work independently, anticipate needs, and adapt to shifting priorities.
