Position Overview
We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to provide top-level support to our executive team. This role requires exceptional communication skills, the ability to manage multiple priorities, and a strong sense of discretion and professionalism. The Executive Assistant will play a pivotal role in ensuring the smooth operation of the executive office and contributing to the overall efficiency of the organization. The role includes assisting with select personal tasks and scheduling to help optimize the executive’s time and focus.

What you will do
  • Executive Support:

    • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.

    • Screen and respond to calls, emails, and other correspondence on behalf of the executive, ensuring timely and professional communication.

    • Prepare agendas, take minutes, and follow up on action items from executive meetings.

  • Administrative Coordination:

    • Handle confidential and time-sensitive information with the utmost discretion.

    • Draft, edit, and proofread correspondence, presentations, and reports.

    • Coordinate logistics for internal and external meetings, events, and conferences.

  • Project Management:

    • Assist with special projects and initiatives, including conducting research and compiling data.

    • Track project timelines and milestones, ensuring deadlines are met and deliverables are completed efficiently.

  • Personal Assistance:

    • Support personal tasks, such as managing household schedules, family-related appointments, and special events.

    • Coordinate personal travel arrangements and oversee logistics for family or personal commitments.

    • Ensure personal and professional tasks are balanced and aligned to optimize executive productivity.

  • Relationship Management:

    • Act as a liaison between the executive team and internal/external stakeholders.

    • Build and maintain strong relationships with key partners, clients, and team members.

The right candidate will have
  • Experience:

    • Proven experience as an Executive Assistant, Personal Assistant, or similar role, with a track record of success in a corporate environment.

    • Familiarity with supporting executives in dynamic, fast-paced settings.

  • Skills:

    • Exceptional organizational and multitasking abilities, with an eye for detail.

    • Strong written and verbal communication skills, capable of interacting effectively with diverse stakeholders.

    • Proficient in tools such as Slack, Notion, Microsoft Office Suite, Google Workspace, and other relevant software.

  • Attributes:

    • Discretion and confidentiality in handling sensitive information.

    • Proactive mindset with a problem-solving attitude and a focus on continuous improvement.

    • Flexibility to adapt to changing priorities, schedules, and deadlines.
