The Executive Assistant will support the CEO and leadership in US market entry by coordinating activities, managing communications, and assisting with hiring and office setup.

As an Executive Assistant, you will be responsible for day-to-day administration including scheduling activities and creating calendar events. You will make travel arrangements and support ad hoc requests. This will include submitting expenses, documenting meeting notes and supporting logistics for corporate meetings. Additionally, the Executive Assistant will oversee and assist with liaison and communication between the Executive and internal and external office engagements. This is a hybrid role.

 

Here’s what you will experience working as an Executive Assistant: 

  • Scheduling activities and creating calendar events.

  • Coordinate travel arrangements and support ad hoc requests. This may include submitting expenses, documenting meeting notes and supporting logistics for corporate meetings.

  • Oversee and assist with liaison and communication between the Executive and internal and external office engagements.

  • Provide day-to-day administrative support for the Executive.
    Manage, plan and organize daily calendar activities.

  • Book and manage all travel arrangements.

  • Manage day-to-day correspondences internally and externally, including responding to all local and international mail.

  • Arrange for meetings and conferences, including preparing agendas and minutes, and making the necessary business travel arrangements.

  • Manage membership dues to various organizations, subscriptions, distributions and circulation lists.

  • Prepare, update and distribute itineraries, letters, memos and meeting minutes and continually keep for a record for future events and meetings.

  • Serve as liaison with department managers to ensure a manageable flow of work and communication.

  • Prepare a variety of high-quality memos, letters, and other required documents. 

 

Required Skills:  

  • Minimum of three years of administrative experience.

  • Ability to effectively manage multiple, competing priorities under a given timeline.

  • Strong proficiency in MS Outlook, Word, Excel and PowerPoint.

  • Ability to work onsite a minimum of 3 days per week in our downtown Chicago offices.


For this US-based position, the base pay range is $83,977.74 - $104,972.18 per year . Individual pay is determined by role, level, location, job-related skills, experience, and relevant education or training.This job is eligible to participate in our annual bonus plan at a target of 5.00%
