Position & Purpose Summary
The Executive Assistant will provide administrative support to AVIA’s executive leadership team. This position is an excellent opportunity for a hard-working individual who is a quick learner, detail-oriented and looking to provide top-level support to a busy team in a fast-paced environment. Strong organizational skills, high-level of professionalism and confidentiality, written and verbal communication skills, ability to anticipate needs, work independently and prioritize workload are required.
Key Responsibilities
- Supports all internal and external meeting scheduling and calendaring across multiple AVIA executive leaders
- Arranges and communicates detailed travel plans and itineraries through Navan platform
- Timely completion of monthly expense reports through Navan and prepares monthly client billing
- Handles very confidential and non-routine information with a high level of professionalism
- Develops and maintains strong working relationships and uses internal resources to enhance knowledge and expertise of industry, research, products and services
- Support additional client and team needs, as needed and including: AVIA office support, in person events and executive-level meetings

- Planning/organizing – prioritizes and plans workload and uses time efficiently to establish priorities and meet deadlines. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
- Adaptability – adapts to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected events.
- Dependability – consistently at work and on time, follows instructions promptly, responds to management direction and solicits feedback to improve performance.
- Location & Hours - This is a hybrid position based at our Chicago headquarters. Our standard office hours are 8:30 am – 5:00 pm, though the nature of this position may require flexibility and additional hours to support execution of tasks
Minimum Qualifications
- Proven experience and track record as a C-suite executive assistant.
- Bachelor’s degree preferred. In lieu of a bachelor's degree, minimum 10 years of relevant EA experience is required.
- In-depth understanding of Google office applications / software
- Working knowledge of Slack, Paycor, Avoma, Asana, Zoom a plus
