Executive Assistant

Smartly is looking for an Executive Assistant to join our fast growing team! In this role you will support the SVP, Ecosystems Partnerships & AI Applications, the SVP, Customer Success and the broader US commercial teams. You’ll own administrative tasks, calendar management, and event coordination.  

Successful candidates must be sociable, have excellent problem solving skills and an entrepreneurial spirit. Attention to detail and strong communication skills are essential! You should also be comfortable handling highly confidential information, juggling scheduling across multiple time zones, and thrive in a fast-paced environment. This is a hybrid position with the expectation that you will be in the office 2-3 days a week.

The nature of the work may require some after hours and weekend support

• Support our SVP, Ecosystems Partnerships & AI Applications, the SVP, Customer Success and the broader US commercial teams
• Work closely with our NYC and Helsinki Executive Assistants
• Actively manage/own the executives’ calendar including arranging and prioritizing meetings
• Support in organizing company level activities, internal events and assist with Chicago day to day office operations
• Coordinate the executives’ travel, help to plan customer visits and other events including owning all expense collection and submission
• Collaborate cross-functionally to improve existing business operations
• Represent the Smartly.io brand in all interactions

• Experience in a similar role with a high-growth, fast paced company supporting a senior level executive
• Worked in a start-up environment (a focus on Social or Ad-tech is a plus)
• Ability to multitask and prioritize and meet deadlines in a fast-moving environment
• Strong verbal, written and interpersonal communication skills
• Project Management skills and experience
• Independent and well structured working style with can-do attitude
• Ability to learn fast learning and determination to achieve goals
• Google Workspace and Microsoft Office skills
• Bachelor's Degree preferred
