About the role

The Executive Assistant’s main responsibility is to enable the Midwest Distribution Leadership Team to be as productive as possible.  Further, they will provide overall administrative support for the Midwest Market Distribution Team. This person must be a polished professional with excellent interpersonal skills and a sense of urgency to get things done. The individual will act with speed, composure, compassion, and knowledge to solve problems.  This role will interact with all levels of employees and all departments in various situations and must be courteous and respectful to all. It will require general administrative assistance as well as analysis, reporting, support and tracking of various events and marketing activities.  The ideal candidate will be able to demonstrate, under minimal supervision, the ability to perform administrative duties, organize and coordinate marketing events, and general office functions requiring advanced skills and significant experience.

What you'll need to succeed:

  • Manage confidential, time-sensitive internal and external communications.

  • Compose clear written communications from ideas and concepts as articulated by the executive.

  • Understand and analyze critical and confidential information to support and anticipate the team’s needs.

  • Organize, prioritize, and summarize the content of incoming requests, including meetings, operational office support, and external engagements.

  • Support communication needs, including in-person requests, and email requests, to manage and prioritize in a timely manner.

  • Anticipate operational needs and lead preliminary legwork to facilitate the Midwest Market Leader’s decision making.

  • Oversee a broad variety of administrative tasks including managing an active calendar, arranging travel plans, scheduling meetings, processing expense reports, providing team support and other duties as needed.

  • Handle other similar administrative activities including catering, ordering office supplies (Ariba Procurement module), site items, etc.

  • Provide support for internal and external events and marketing activities, including planning and logistics.

  • Facilitate meetings including audio/video and conference room management.

  • Prepare documents including correspondence, spreadsheets, reports, memoranda, and other materials (including presentations, graphics and charts).

  • Strong organizational skills, including the ability to multitask and prioritize

  • Ability to understand the desired outcome, and create path towards timely completion

  • Keen attention to detail, including excellent verbal and written skills, as well as document aesthetics

  • Ability to problem solve and act independently as needed. 

  • Proactive work ethic, ability to anticipate next steps and take initiative with a high customer service acumen

  • Comfortable to flex in ever changing situations, including polished leadership presence

  • Significant experience arranging travel, processing expense reports, and calendar scheduling (preferably across multiple time zones)

  • Proficient skills required in Microsoft suite, specifically Outlook, PowerPoint, Word, One Drive, Teams, SharePoint and Excel

  • Experience in SalesForce, Concur, Workday, Eloqua, and SharePoint (or comparable systems) preferred

  • Track record of successful teamwork

  • Bachelor’s degree and/or related prior work experience in office or executive administration

For positions based in Illinois, the base salary range is $53,000-$73,900 and the position is eligible for a bonus in accordance with the terms of the applicable incentive plan.   A summary of benefits  can be viewed here: US Benefits Overview
