Summary: The Membership Services Coordinator is responsible for providing professional, high-quality member and guest services at Park Fitness. This position assists with membership sales, processing, and retention while ensuring accuracy in data entry and strong customer engagement. Coordinators are often the first point of contact for community members and play a key role in delivering welcoming, caring, and extraordinary experiences that reflect the mission, vision, and values of the Park District of Highland Park. The role requires independent judgment, problem-solving, and discretion in decisions that impact member satisfaction and facility operations.

Supervisory Responsibilities: This job has no supervisory responsibilities.

Essential Duties and Responsibilities:

•    Greet and assist members, guests, and community participants in a professional, friendly, and welcoming manner during all interactions.
•    Provide accurate and timely information regarding membership options, Park District programs, schedules, facility policies, and services.
•    Process membership transactions, including new sales, renewals, transfers, cancellations, prorations, and billing updates with accuracy and attention to detail.
•    Participate in membership retention initiatives, including outreach calls, follow-ups, and assisting with leads, trials, or expired member communications.
•    Conduct facility tours for prospective members, highlighting programs, services, and amenities.
•    Assist with program registration, point-of-sale transactions, gift cards, passes, and personal training packages.
•    Maintain accurate, secure, and organized membership records and data within the Recreation management system.
•    Monitor assigned areas of the facility for safety, security, and compliance with policies and etiquette.
•    Confidently administer basic first aid, CPR, and respond to accidents or incidents in accordance with Emergency Action Plan policies.
•    Communicate effectively with Park Fitness management, supervisors, and other staff regarding member-related concerns, facility projects, or operational issues.
•    Maintain a clean, organized, professional workspace, including the membership desk and surrounding areas.
•    Enforce facility rules and policies with professionalism, ensuring a safe and welcoming environment.
•    Assist in light administrative tasks such as filing, copying, reporting, or special projects as needed.
•    Demonstrate knowledge of fitness equipment and facility layout to support member inquiries and safety.
•    Adapt to high-paced and sometimes stressful situations while maintaining excellent customer service.
•    Exercise independent judgment, problem-solving, and discretion when responding to member inquiries, complaints, or operational issues.
•    Performs other duties as assigned.

Qualifications

Education and/or Experience: Bachelors degree in Recreation or related field; or 1 year of experience in the fitness industry. Or and equivalent combination of education and experience. Must have the ability to communicate effectively verbally and in writing and possess strong organizational skills. Experience with registration software is referred. Previous experience in membership service and/or fitness programming a plus.

•    Proficiency in Microsoft Office Word/Excel.
•    Proven organizational, data-based entry and reporting skills.
•    Ability to train, schedule, and motivate co-workers.
•    Exceptional communication skills, verbal and written.
•    Results-oriented with high intention to detail, ability to multi-task and meet deadlines.
•    Strong customer relations and interpersonal skills with a high level of responsiveness to all inquires.
•    Passion to help others make quality decisions in membership options to maximize their fitness experience and needs.
•    Excellent problem-solving skills, empathy, and good judgement.
•    Must be able to stand and walk moderate distances and remain in stationary positions for long periods.
•    Must be punctual and show good interpersonal and communication skills.
•    Must be flexible and workdays/times that fit with staffing needs including opening, closing and weekend shifts. 
•    Ability to handle emergency situations.
•    American Red Cross CPR/AED certification or ability to obtain within three (3) months of hire.

Wage Range: $18.50 - $19.50 per hour

Classification: Part-Time, non-exempt

The employee must frequently lift and/or move up to 25 pounds and occasionally up to 30 pounds and be able to lift other various weights as needed. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Working Conditions: While performing the duties of this job, the employee may be exposed to cool to warm temperatures with some slightly disagreeable features. The noise level in the work environment is moderate to loud.
