About the Position
We are seeking a highly organized and proactive Office Manager to oversee daily office operations, manage a team, and ensure a seamless work environment for our traders and staff. This is a 100% on-site position in our Chicago headquarters, requiring strong leadership, problem-solving skills, and the ability to adapt in a fast-moving environment.

Responsibilities

  • Office Operations: Oversee the day-to-day office functions, including facilities management, vendor coordination, and supply management to ensure a highly efficient work environment.
  • Team Leadership: Manage and mentor a team of administrative and support staff across three offices, providing clear direction, setting performance expectations, and fostering a collaborative workplace.
  • Executive Support: Assist leadership with scheduling, meeting coordination, travel, and other administrative tasks as needed.
  • Event Planning: Organize firm-wide meetings, social events, and client visits to promote engagement and collaboration.
  • IT & Infrastructure Coordination: Work with internal IT team to coordinate desk moves and office updates and ensure traders and staff have the resources they need.
  • Safety & Security: Ensure adherence to office security, compliance, and evacuation protocols in conjunction with building management and company leadership.
  • Financial & Budget Oversight: Manage office-related expenses, approve vendor invoices, and work with finance on budget planning.

Required Skills

  • Proven experience as an Office Manager, Administrative Manager, or similar role in a fast-paced environment, preferably within finance, trading, or a related industry.
  • Bachelor’s degree
  • Strong leadership experience with direct reports, including hiring, training, and performance management.
  • Excellent organizational skills with the ability to multitask and prioritize effectively.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with office management software or tools.
  • Exceptional communication and problem-solving abilities.
  • Ability to work under pressure and adapt to changing priorities in a high-stakes environment.

Base Salary Range

$100,000 - $115,000 - Salaries are based on numerous factors such as skills, experience, and education. Our compensation package also includes a discretionary bonus and a comprehensive benefits program for full-time employees. For more information, reach out to your recruiter.
