About The Role
UPshow is looking for an entrepreneurial, proactive Executive Assistant to support the day-to-day needs of our CEO. This person will be highly organized, has a positive, “can-do” attitude, and thrives in a fast-paced environment. We are hiring someone to act as the CEO’s right hand and help him execute multiple projects simultaneously while diligently following up and organizing existing and future projects.
Responsibilities
The primary responsibilities for the Executive Assistant to the CEO include, but are not limited to, the following:
Managing the CEO’s calendar, including prioritizing his meetings and anticipating/clearing any conflicts.
Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
Support our CEO in ensuring that all areas of the organization are aligned, highly productive and performing as expected
Ensure CEO’s efficiency and productivity by coordinating, organizing and supporting commitments and initiatives
Organizing external and internal meetings, executive networking events, and speaking engagements.
Participate in meetings to diligently and proactively track the status and follow up on projects
Making frequent travel arrangements.
Preparing expense reports in accordance with company policy.
Assisting with other special projects and duties as needed.
Qualifications
Basic Requirements:
Highly organized – Extremely strong attention to detail, resourceful and effectively completes tasks in a timely manner without follow-up.
Strong time management skills – Highly capable of multi-tasking, problem-solving, and prioritizing tasks independently.
Excellent communication skills – Strong written and verbal communication skills.
Strong interpersonal skills – This person will interface with the entire UPshow team and external stakeholders and should work well in a team environment.
High integrity – has a high level of professionalism and can effectively handle confidential or sensitive information with discretion.
Adaptability – This person should be energized and excited by working in a fast-paced environment and be able to effectively manage priorities as changes occur.
Preferred Skills + Experience:
High school degree or equivalent required; Bachelor’s degree preferred.
3+ years of relevant experience in an executive assistant or administrative assistant role.
Proficiency in Microsoft Office and G-suite.
