We are currently seeking a Manager of Workplace Operations to join our team at Vibes. This new role will be responsible for the success of the Workplace Operations Function and is expected to provide strategic leadership and day-to-day influence on office coordination, facilitates management, and event planning.

We are looking for a fearless superstar who can oversee and manage numerous projects at a time. This individual will always approach situations with the thought of “how can this be better” and have no hesitations on driving initiatives forward. Experience successfully managing a workplace operations team at a company during a period of significant growth is required.

This role will report directly to the Manager of Talent & Development and is located in Downtown Chicago.

Responsibilities:

Manage Workplace Operations Function and Company Events including formal management of Office Coordinator and informal management of various events teams
Oversee Office Coordinator who is responsible for the day-to-day office operations at Chicago HQ
Create and execute scalable office coordination activities at satellite offices in San Francisco, Miami Beach, and future locations
Manage short and long-term relationships with partners and vendors related to the workplace
Manage all office space needs including space optimization and expansion
Manage office lease negotiations, renewals and related activities across 3+ locations
Maintain regular communication with business leaders on workplace and events related initiatives, organizing input into actionable programs and goals, and setting clear expectations for project and service delivery
Achieve cost savings and support at/below budget, through maximizing utilization of suppliers and preferred vendors/contractors and by identifying efficiency opportunities
Develop and implement innovative programs, processes and projects that aim to reduce both short and long-term operating costs and increase productivity and longevity, for both people and systems
Manage planning, budget, décor, catering, and all other facets of internal and external events and meetings, including but not limited to: Holiday Party, Employee Social Events, Quarterly All Hands Meetings, Training Events, Recruiting Events, Chicago Technology Community Events
Introduce wellness initiatives and mindset to the workplace team
Requirements & Qualifications:

4+ years of experience as manager responsible for complex operations at office sites across multiple locations
2+ years in event planning and execution
2+ years of experience managing and developing a team
Facilities related vendor management and negotiation experience is required
Commercial real estate/lease management highly preferred
Creativity and entrepreneurial spirit is a must
Strong project management skills
Have a balanced mix of people, technical, analytics, and operations skills
Experience working with creative and/or technology populations
Experience scaling operations
Ability to build partnerships and work collaboratively cross-functionally
Curiosity in cutting edge technology
Proven skills in planning and budgeting
Professional, reliable, organized, driven and results-oriented
