We are looking for an Office Manager / Administrative Assistant to join our Digital team in Chicago. This role is responsible for organizing and coordinating administration duties and office procedures. The role is also to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.  The ideal candidate will be highly motivated, reliable, detailed, and driven to produce high quality work.

What we will want you to do:

  • Office manager responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to employees.
  • Point person for maintenance and building requests, mailing and shipping, office supplies and equipment, bills, and errands.
  • Track and process invoices for payment.  Manage relationships with vendors and property management.
  • Monitor and maintain office supplies and kitchen inventory.
  • Plan, schedule, and ensure the success of all office social events
  • Act as the face of the office by greeting guests and ensuring their needs are met in a timely manner
  • Executive support and scheduling for VP of Technology and other executives in the office.  Provide general administrative support to members of the team as needed
  • Schedule domestic travel and prepare expense reports through Concur.
  • Support recruitment initiatives, including interview scheduling and networking events.
  • Assist with new employee logistics including hardware ordering and onboarding to ensure a productive first week.

Skills or experiences we want you to have:

  • High school degree or equivalent required. Associate’s/Bachelor’s Degree preferred
  • 2-5 years experience in an office management or administrative capacity
  • Excellent time management skills and ability to multi-task and prioritize work
  • Self-starter with entrepreneurial mindset that is not timid to voice new ideas
  • Positive attitude, great interpersonal skills, and always eager to help out
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficiency with Microsoft Office, Outlook, Gmail, and office hardware
