Office Manager

mHUB is actively recruiting candidates for the full-time position of Office Manager for our physical product innovation center. We seek a detail-oriented and problem-solving professional with a can-do, positive attitude. From ensuring our members and guests receive a warm welcome, to managing our team’s HR functions like onboarding and open enrollment, you’ll be the oil in mHUB’s engine, ensuring our community runs smoothly and on all cylinders. Description of Responsibilities

The Office Manager is a full-time position that reports to the Chief Experience Officer with primary responsibilities which include the following:

  • Full management of the front of house including reception staff;
  • Manage the purchasing and inventory of office supplies, equipment, and related vendor relationships;
  • Organize and maintain employee records/files;
  • Maintain and conduct payroll for employees;
  • Manage employee benefits including healthcare, dental and vision open enrollment, 401K, disability, vacation/sick time and related vendor relationships;
  • Update and maintain mHUB employee and community policies;
  • Serve as an internal HR manager for the organization;
  • Support managers on recruitment needs and manage new hire orientation and onboarding procedures;
  • Contribute to the development of formal staff job performance review procedures;
  • Lead team career development activities and support employee training/development activities;
  • Ensure compliance with all federal and state requirements by monitoring and implementing legal standards (conduct investigations, maintain records, prepare and update HR policies and procedures);
  • Manage business licenses and permits;
  • Provide letters to sponsors and partners acknowledging contributions;
  • Support accounting team as needed;
  • Deliver financial reports to the executive team for monthly review;
  • Become the ambassador of corporate culture by defining and executing ways for the organization to embody our corporate values;
  • Ensure a culture of data-informed decision making within the function.

Qualifications

  • Candidates interested in applying should meet the following qualifications:
  • College degree required, advanced degree preferred;
  • 8+ years of experience in office management and human resources;
  • Strong organizational skills and a proven track record of success;
  • Experience with scheduling and payroll;
  • A knowledge of accounting, data and administrative management practices/procedures;
  • Design skills and knowledge of Adobe InDesign a plus;
  • Responsive, quick-thinking, collaborative, and with an innate ability to anticipate and respond to issues;
  • High level of motivation and drive; ability to work effectively as part of a team but confident in making decisions and driving projects independently;
  • Exceptional written and verbal communication skills with a high attention to detail;
  • Team player who thrives in a fast pace environment;
  • Ability to work under pressure and handle stress;
  • High level of reliability, discernment, and commitment to discretion and confidentiality;
  • Strong personal commitment to support innovation and entrepreneurship and the growth of the Chicago economy;
  • Commitment to the practice of continuous improvement and increased operational efficiency.
