Summary: 

At SHIFT, we are looking for an Operations Assistant who is efficient, detail-oriented, comfortable being part of a small, fast-paced team, and confident in their ability to handle a wide range of responsibilities on a day-to-day basis. Our mandate is to help Members build, expand, and maintain complete well-being—our integrated, relational healthcare model drives stronger physical performance, increased energy, improved mental acuity, and positive health outcomes. This support role is essential to our membership growth and healthcare service delivery.

The Operations Assistant provides ancillary support to Operations and Sales and involves participation in, and management of, various workflows related to Member Services and Facilities Management. The three primary objectives of this role are to 1) provide exceptional service to members, 2) support Sales and Operations in the efficient and effective delivery of personalized healthcare services; and, 3) to maintain for SHIFT Members and visitors a clean, modern, and efficient environment and an inviting atmosphere.   

The position is based in the River North area of Chicago, IL and requires a 6:15a start, Monday-Friday.

You will:

  • Handle a broad range of core administrative duties in support of Sales and Operations functions
  • Greet and assist SHIFT Members, visitors, on a daily basis
  • Deliver outbound communication to individual members on a scheduled and ad-hoc basis
  • Address inbound inquiries about SHIFT (e.g. re: services, membership changes, transactions/payment methods, services, and insurance)
  • Enter, validate, and manage member-related data
  • Prepare and provide accurate reports on key metrics based on raw data
  • Communicate with Team about changes in Membership
  • Manage all aspects of merchandise inventory (e.g. stocking, pricing, labeling, displaying, ordering)
  • Manage inventory of supply stock for facility amenities and maintain fully functional workspaces
  • Work with third-party service providers and vendors
  • Provide back-up support to the Director of Operations and Sales
  • Assist with various ad-hoc tasks for the team (e.g. troubleshooting office equipment or addressing facility issues)
  • Organize and oversee logistics for sales events, team events, training, and team off-sites
  • Run local errands (e.g. supply pickups), as needed
  • Handle schedules and coordinate meetings, as needed
  • Be challenged to acquire new competencies and accept new challenges

You have:

  • A bachelor’s degree (liberal arts and sciences or business)
  • Exceptional interpersonal skills
  • 1-3 years of experience in a dynamic, demanding environment
  • Excellent written and verbal communication skills
  • A proven track-record of handling sensitive and confidential matters
  • Strong organizational and time management skills
  • A desire to be part of, and to serve, a team
  • A desire to acquire new knowledge and experiences
  • A passion for integrated personal health and wellness
  • Experience and comfort with learning new online systems/software
  • Advanced knowledge of Outlook, and strong experience use of MS Office Suite and Adobe Acrobat.
