The team
Our Workplace Services team creates a unique experience and environment that supports our collaborative culture of innovation. The team oversees daily operations of our global offices which ranges from delivering a white glove guest experience, organizing employee events, coordinating office moves, providing a welcoming new hire experience and responding to a variety of employee requests. Workplace Services prides itself in driving solutions, turning innovative ideas into reality, and creating a special place to call work.

This position
The Receptionist welcomes visitors by greeting them, in person or on the telephone; and answering or referring inquiries. This individual also manages the check-in process and badging for all incoming visitors and directs visitors and new employees by maintaining employee and department directories and giving instructions.

This position reports to the Office Manager. 

Responsibilities

  • Maintains security as first point of contact
  • Manages the check-in process for all incoming visitors
  • Directs visitors by maintaining employee and department directories and giving instructions
  • Maintains a safe and clean reception area by complying with procedures, rules, and regulations
  • Coordinates mail flow in and out of the office; a FedEx super user
  • Works dynamically with the Workplace Services Associate and Site Coordinator to schedule break reliefs, PTO coverage
  • Updates receptionist handbook on a quarterly basis
  • Assists with department birthday celebrations and events as needed
  • Assists with New Hire Onboarding
  • Issues employee, temporary and visitor badges
  • Assist with maintaining and management of onsite access control system
  • Accurately reconciles department charge card monthly
  • Monitors and assigns service desk tickets to ensure timely completion of employee requests

Basic Qualifications

  • 2+ years relevant office administrative experience preferred
  • Proficiency with MS Office: Word, Excel, PowerPoint, Outlook

  • BA/BS degree preferred
  • Unwavering ethics and dependability
  • Extremely customer-centric, both internally and externally
  • Communicates effectively, both orally and in writing
  • Fast-paced, high-energy, quick-thinking, change-oriented, and able to thrive on ambiguity
  • Able to effectively multi-task capable of handling multiple email aliases and ticketing systems providing timely responses
  • Ability to work extended hours as needed to cover peak periods
  • Pro-active approach to problem solving, and ability to make good decisions in a rapidly changing environment
  • Attention to detail and data accuracy
