The Payroll Specialist is responsible for end-to-end payroll processing, payroll system maintenance, and ensuring compliance with applicable payroll regulations. This role works closely with Accounting and cross-functional teams as part of the Operations team to support the needs of a fast-moving, high-growth organization.


Essential Duties and Responsibilities

Payroll Operations:

  • Process bi-weekly payroll across all entities and affiliates.
  • Run and validate payroll reports to support financial accounting and journal entry posting.
  • Serve as the main point of contact for employee payroll inquiries.

Systems and Compliance:

  • Maintain payroll systems to ensure accurate processing of compensation, deductions, benefits, garnishments, and taxes.
  • Process payroll changes for new hires, terminations, and pay adjustments.
  • Ensure compliance with federal, state, and local payroll and wage/hour laws.
  • Provide documentation and support for internal and external audits.

Reporting and Reconciliation:

  • Prepare and submit payroll and tax reports to federal, state, and local agencies.
  • Generate payroll reports for leadership review and financial analysis.
  • Prepare 1095-C forms.
  • Support reconciliation of payroll-related accounts including FSA, HSA, 401(k), and tax liabilities.
  • Assist with payroll-related journal entries and bank reconciliations.

Systems Administration and Process Improvement:

  • Maintain payroll schedules and earning/deduction codes within the HRIS.
  • Manage state and local tax accounts, including setup of new accounts.
  • Administer FSA, HSA, and dependent care accounts and manage related funding.
  • Fund 401(k), HSA, and FSA contributions and maintain API connections for reporting and funding.
  • Recommend improvements to payroll processes and workflows.
  • Stay current on payroll regulations and HR technology developments.

Additional Responsibilities:

  • Assist with workers’ compensation, 401(k), and other payroll-related audits.
  • Support annual financial statement audits with required payroll documentation.
  • Perform other duties as assigned.


Requirements and Qualifications

Education and Work Experience:

  • Bachelor’s degree preferred; equivalent experience considered.
  • 2+ years of progressive payroll experience required.
  • Healthcare industry experience preferred.

Skills and Qualifications:

  • Experience in a high-growth environment preferred.
  • HRIS implementation experience a plus.
  • Strong attention to detail and accuracy.
  • Experience with payroll and tax reporting; UKG Pro and/or UKG Ready preferred.

Location

This is a 100% remote position that must be located in the United States.
