Position Overview

We are looking for a Project Manager to join the Aptitude 8 Delivery Team! This role works within our delivery teams while also collaborating with consultants, developers, and CX teams. Our delivery teams are responsible for leading external client project engagements ranging from large-scale implementations, custom integrations, and platform extensibility, to optimizations and advisory solutions on the HubSpot platform and connected systems. 

Success in this role requires strong technical project management experience, organization, attention to detail, and the ability to communicate project updates and risks to both internal and external stakeholders within all levels of an organization. Experience with CRM systems implementations is a must-have.

Core Responsibilities

Project planning:

  • Define clear project goals, deliverables, timelines, and required resources. Research unfamiliar client technological ecosystems like existing software and cloud services.
  • Communicate project plans and processes to internal teams and appropriate stakeholders.
  • Coordinate and schedule discovery sessions and requirements verification calls with client stakeholders
  • Attend kickoff meetings for external client projects.

Project and task management:

  • Attend daily stand-ups to gather status updates; prepare status updates for client presentation.
  • Delegate & work with Delivery Leads on tasks for project team members, coordinate technical teams, and facilitate collaboration to remove roadblocks.
  • Update task statuses, deadlines, dependencies, subtasks, checklists, and Gantts within ClickUp.

Budget and resource management:

  • Manage project budgets and provide client budget updates and reporting throughout the project lifecycle
  • Advise on allocation of resources effectively throughout the project lifecycle; review and manage hours budgets against actuals to keep project within budget and scope.
  • Manage external vendors to ensure on-time delivery of scoped work and how it effects internal dependencies

Risk and issue resolution:

  • Proactively identifying technical and other project risks, and addressing any technical issues that come up.
  • Communicate timeline and budget risk to both delivery teams and clients early and often.

Communication:

  • Acting as a main point of contact for project status, host project meetings providing regular updates to internal and external stakeholders and team members.
  • Attend client sprint meetings, providing status updates while maintaining accountability  
  • Coordinate with development teams to ensure smooth software deployment and integration.

Tracking and monitoring:

  • Monitor project progress and ensure all technical specifications and integrations are maintained.
  • Ensure time is logged, tasks are updated, and ClickUp reflects accurate project data
  • Run reports and build dashboards in ClickUp to keep projects on track; mitigate scope creep.
Qualifications  
  • 3+ years of hands-on technical project management experience; familiarity with CI/CD pipelines, microservices, and API integrations.
  • Experience leading large-scale implementation or integration projects, ideally in consulting or professional services environments.
  • Experience creating project plans including timeline, deliverables, hours, and budget planning; with proven skills in risk identification and management.
  • Strong understanding of Waterfall, Agile, and Hybrid methodologies
  • Proficiency with ClickUp or comparable PPM tool such as Asana, SmartSheets, or Jira
  • Excellent leadership, communication, problem-solving, and analytical skills; able to multi-task and prioritize efficiently
  • Ability to manage changes to project scopes, schedules, and resources while effectively meeting client requirements.
  • PMP, CAPM, CSM or equivalent certification is a plus!

The compensation range for this role is $85k–$100k, depending on experience and technical level. We recognize that candidates bring a variety of backgrounds and skills, and we’re committed to offering competitive and equitable compensation aligned with each individual’s expertise.
