Job Description

We have an exciting remote opportunity for a Project Specialist at UL Research Institutes.

The Project Specialist plans, executes, and brings projects to closure of small to medium size projects on behalf of UL Fire Safety Research Institute (FSRI). The Project Specialist manages various tactical aspects of National Emergency Response Information System (NERIS) project management and implementation, including aspects of troubleshooting, department engagement and defining scope and other documentation for system utilization. The Project Specialist manages resources, coordinates teams or team members, and mitigates risks to deliver successful project outcomes.

What you’ll learn and achieve:

As the Project Specialist, you will play a key role in the rapid growth of UL as you:

  • Define project objectives, scope, deliverables, success criteria, and develop comprehensive project plans including schedules, budgets, resources, dependencies, risks, and mitigation strategies.

  • Collaborate with stakeholders to gather requirements, establish clear communication channels, and align expectations.

  • Communicate project requirements, processes, and updates to stakeholders with varying learning styles and communication needs.

  • Coordinate cross-functional project teams, assign tasks and responsibilities, and monitor progress to ensure timely delivery.

  • Foster effective teamwork and collaboration among team members, including contractors and external partners.

  • Manage changes to project scope, schedule, and resources using established change control processes, proactively resolving issues and conflicts.

  • Communicate project status, updates, risks, and ideas, escalating critical issues to appropriate stakeholders and senior leadership as needed.

  • Ensure compliance with applicable organizational policies, regulations, and industry standards across multiple levels of government.

  • Build and maintain strong relationships with project stakeholders across the fire service industry, addressing concerns and feedback constructively.

  • Conduct project reviews and lessons learned, document outcomes and challenges, and support continuous improvement efforts.

  • Perform other duties as assigned

  • Adaptable and flexible, able to adjust plans, reallocate resources, and navigate uncertainty while maintaining project objectives.

 Professional education and experience requirements for the role include:

  • Bachelor’s degree in a relevant field aligned with aspects of the National Emergency Response Information System (NERIS).

  • Minimum of four years of project management experience.

  • Experience presenting to adult learners and engaging in professional public speaking is preferred.

  • Relevant industry certifications and professional experience in applicable fields are preferred.
