Position SummaryThe Recruiting Coordinator plays a vital role in delivering a seamless hiring experience for candidates and new hires alike. This position supports the full recruiting lifecycle — from scheduling and candidate communication through preboarding compliance and onboarding readiness. Key Responsibilities
Recruiting Support
- Schedule candidate interviews and maintain the interview tracker with up-to-date status information
- Participate in weekly recruiting calls
- Monitor and manage the recruiting team inbox, responding to inquiries from candidates and internal stakeholders in a timely manner
- Monitor the Mosaic Health LinkedIn inbox and respond to incoming messages daily
Hiring Process
- Conduct final review and audit of candidate profiles and offer details prior to hire
- Initiate background check orders and send candidate Welcome Emails
- Add new hires to the Onboarding Tracker and advance the Workday step to Ready for Hire
- Ensure new hires complete all preboarding requirements by established deadlines, including background check, drug screen, employee health requirements, and credentialing requirements
Background Check & Drug Screen Management
- Monitor background check and drug screen processes in First Advantage; proactively follow up with candidates to ensure timely submission of required documents
- Follow up with candidates to resolve discrepancies in employment and education history
- Manage negative dilute or positive drug screen results per established protocols, including reordering as required
- Respond to candidate questions regarding background check status and process
- Notify candidates promptly upon clearance of background check and drug screen
- Execute pre-adverse action process when applicable
- Adjudicate discrepancies within First Advantage
- Support First Advantage integration with Workday, including user testing, process discussions, and matrix updates
Preboarding & New Hire Support
- Collaborate closely with Employee Health, Credentialing, HR Operations, and IT to ensure readiness for new hire start dates
- Monitor the new hire group Slack channel; answer questions, troubleshoot issues, and escalate when necessary
- Serve as a responsive point of contact for new hire inquiries throughout the preboarding period
Conference & Job Fair Support
- Coordinate logistics for career fairs, recruiting events, and professional conferences, including registration, travel arrangements, and materials preparation
- Maintain an event calendar and ensure recruiting team members are prepared in advance of each event
- Order, track, and organize recruiting materials, branded swag, and promotional items for events
- Collect and enter candidate leads and resumes gathered at events into the applicant tracking system in a timely manner
Additional Responsibilities
- Contribute to recruiting and HR projects as assigned
- Identify opportunities for process improvement and share recommendations with the team
Qualifications
Required
- 1–2+ years of experience in a recruiting coordination, HR support, or administrative role
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
- Excellent written and verbal communication skills
- High attention to detail and commitment to accuracy
- Proficiency with Microsoft Office Suite and comfort learning new systems
Preferred
- Experience with Workday or similar HRIS/ATS platforms
- Familiarity with background check platforms such as First Advantage
- Experience in a healthcare or high-volume recruiting environment
- Comfort working in Slack and other collaborative tools

This role operates in a collaborative, deadline-driven environment. The Recruiting Coordinator works cross-functionally with teams including HR Operations, Employee Health, Credentialing, and IT, and serves as a key point of contact for candidates throughout the hiring process.
