Partnered with a national network of dental and optical professionals, Avesis delivers high-value services that improve members’ health, allowing them to enjoy productive lives.The Renewal Department is seeking a Renewal Specialist for a remote entry-level position who is self-motivated, task-oriented individual who enjoys helping others achieve retention, accuracy and turnaround times. The role serves as a crucial quality-assurance checkpoint, communicating closely with the Underwriting and Account Management teams, to help retain clients and produce work that reflects positively back on Avēsis company. This position reports to the Underwriter – Renewal Operations Supervisor.
The Renewal Specialist work will include, but not limited to, preparing and reviewing underwritten packets, tracking daily incoming and outgoing renewals, email correspondences of renewal questions, monthly rate processing, and regular or ad hoc audit that serves the specific needs of the requester or our department, whether it's for supporting information, cleaning up data, gaining insights, or providing a brief overview that keep our work up to date and accurate, and maintaining database accuracy in Smartsheet and Cadence.
Functional:
- Process & Renewal Management: Record renewal tracking, document preparation, and completion of underwriting packets for group plans; monitor and organize the email inbox to track commercial renewals and prioritize work to meet deadlines.
- Cross-Functional Communication & Coordination: Working with the Underwriting and Account Management teams to communicate renewal timelines, ensure timely completion, and respond appropriately to incoming and outgoing correspondence.
- Data, System & Records Maintenance: Process and audit rates while maintaining accurate, up-to-date records in Smartsheet and Cadence.
- Document Preparation & Account Management Support: Prepare documents, packets, and provide assistance with documentation submitted by the Account Management team.
- Quality Assurance & Compliance: Conduct comprehensive, regular audits of projects, tasks, and documentation to ensure strict accuracy; maintain product and service quality standards by performing ongoing evaluations and investigating complaints received from other departments for results and provide resolutions.
- Urgent & Time-Sensitive Operations: Efficiently manage time-sensitive plan verifications and prioritize critical tasks to meet operational deadlines.

- Ensure that the documents are operated in compliance with all applicable laws, ordinances, regulations, and requirements of any federal, state or municipal authority.
- Due to the amount of manual work with tracking and processing of renewals, documents and rates, a detailed-oriented mindset is mandatory.
- Skilled in time management and prioritizing work.
- Regularly correspond in a professional manner with internal and external clients.
- Correct mandated documents for Account Management team and otherwise assist Account Managers with document preparations, as necessary or requested.

Minimum Qualifications:
- High School diploma or equivalent
- 1+ years of experience in the health insurance industry, or insurance industry related environment.
- Experience in Microsoft Office products, including Word, Excel, Adobe Acrobat, Teams, and Outlook.
- Should be proficient in basic Excel formulas such as SUM, DIVIDE, MULTIPLY, and SUBTRACT.
- Using the editing functions in Adobe Acrobat Pro.
- Convert Word documents into PDF files.
- Familiarity with mail merging Word into PDF files would be a plus.
- Have familiarity with the following tools:
- Smartsheet: For tracking incoming and outgoing emails.
- SharePoint: For retrieving documents.
- OneNote: For personal and departmental note-keeping to maintain organization within the team
- Comfortable in navigating multiple computer software/systems and multi-screen functionality.
- Able to adhere to HIPAA standards.
- As this role is a remote role, you are required to maintain internet service that allows you to complete your essential job duties without issue. Rates of 50 Mbps download and 10 Mbps upload while hardwired and not on a VPN are sufficient.
At Avēsis, we strive to design equitable, and competitive compensation programs. Base pay within the range is ultimately determined by a candidate's skills, expertise, or experience. In the United States, we have three geographic pay zones. For this role, our current pay ranges for new hires in each zone are:
Zone A: $18.33-$30.55 Zone B: $19.97-$33.29 Zone C: $21.50-$35.84 FLSA Status: Hourly/Non-ExemptThis role may also be eligible for benefits, bonuses, and commission.
