Role Summary:

The Sales Tax Specialist is responsible for ensuring accurate and compliant sales and use tax reporting across multiple states while supporting the organization's broader accounting operations. This role calculates and files multi-state tax returns, maintains tax records and exemption certificates, monitors nexus requirements, and stays current on changing tax laws and regulations. In addition to serving as the internal subject matter expert on sales and use tax, the position supports audits, manages fixed assets, inventory reconciliations. Success in this role requires strong analytical skills, exceptional attention to detail, proficiency in Excel and accounting systems, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities/Essential Functions:

  • Calculate multi-state sales tax for multiple customers
  • Organize and update company tax files
  • Determine states/regions where sales & use tax is applicable
  • Verify tax calculations across multiple systems to ensure accuracy
  • Prepare necessary paperwork for monthly tax payments and returns
  • Liaise with internal and external auditors
  • Maintain cost accounting system and cost ledger
  • Ensure Darwill is compliant and registered in all states where tax is applicable
  • Serve as subject matter expert on Sales & Use Tax
  • Maintain customer and vendor tax exemption certificates
  • Submit and maintain extension payments when applicable
  • Stay current on the latest industry trends and tax law changes
  • Perform monthly inventory reconciliations and corresponding journal entries
  • Manage fixed asset records and monthly depreciation
  • Crosstrain in postage entry processes for backup coverage
  • File returns for additional tax types as needed
  • Other tasks as assigned

Qualifications:

  • Bachelor's degree in Accounting, Finance or relevant subject
  • 3-5 years of proven work experience as a Tax/Cost Accountant, analyst or preparer
  • Understanding of nexus/economical nexus and how it is applied
  • Experience with Sales & Use tax across multiple states
  • Experience with direct mail a plus
  • Knowledge of accounting and bookkeeping procedures
  • Familiarity with accounting software
  • Excellent Microsoft office skills (Microsoft Excel specifically)
  • Enjoys being challenged and learning on a daily basis
  • Strong attention to detail
  • Ability to multi-task

Work Environment/Physical Demands:

  • This job requires you to sit in a cubicle or office, on a computer (1 or more monitors) and on the phone for the majority of the day.
