SMBTeam is looking for a Senior Marketing Project Manager to be the driving force behind how our marketing team executes. This person will own the planning, coordination, and execution of marketing projects, such as new funnel launches, virtual events, product launches, and always-on campaign optimization. They will make sure work moves on time and every team and team member involved knows what's expected of them and when, and, most importantly, is set up for success.

More than anything, we want someone who genuinely loves marketing and is focused on ensuring every dollar we spend and every initiative we run is actually working. That means not only the launch project managing launches, but ensuring each launch is set up for success in terms of both driving SMBTeam's growth giving our clients a top-notch experience.

Beyond that, you'll be the connective tissue between Marketing, Sales, IT, Operations, and Product on a wide range of projects. Events and product launches are a large part of this role and, not coincidentally, the most cross-functional. You'll own event management and product rollouts to ensure readiness, hand-offs, and training ultimately lead to smooth and successful outcomes.

Key Responsibilities:

    • Events & Launch Ownership 
      • Own execution end-to-end for our full calendar of (primarily virtual/digital) events and product launches, and funnel launches, including timelines, task ownership, and cross-team hand-offs.
      • Own the interdepartmental coordination that makes events and launches run smoothly: hand-offs between Marketing, Sales, and other teams, training sessions so every team knows their role, and clear pre/post-event and pre/post-launch communication.
      • Partner with marketing team colleagues on offer strategy and promotion to keep registration and attendance numbers on track.
      • Ensure all event and launch assets (such as landing pages, emails, ads, graphics, etc.) are scoped, requested, and delivered on time.
      • Run post-event and post-launch debriefs and turn lessons learned into repeatable checklists and process improvements.
      • Recognize that events and launches are the most cross-functional work on the team — you're the one making sure Marketing, Sales, Product, IT, and Contracts are all moving on the same timeline cohesively.
    • Marketing Project & Program Management
      • Manage the end-to-end lifecycle of all Marketing team projects and always-on campaigns in Asana, keeping timelines, owners, dependencies, and SLAs clear and current.
      • Build and maintain a master view of marketing project status so the  team always know what's on track, what's at risk, and what needs a decision.
      • Create and maintain active trackers of what is currently running, what assets can be delivered and how they are delivered, etc.
      • Proactively identify bottlenecks, resourcing conflicts, and risks — and resolve them before they become fire drills.
      • Set and enforce a rhythm of check-ins, deadlines,  and hand-offs across the team.
      • Manage the launch of new marketing channels as the team expands its efforts
    • Creative & Asset Coordination
      • Work closely with the creative team to plan, track, and manage all marketing assets (ads, graphics, event collateral, etc.) from request through final delivery.
      • Maintain a clear intake and prioritization process for creative requests so the creative team always knows what's next and why.
    • Cross-Departmental Coordination
      • Be the connector between Marketing and Sales on shared initiatives, hand-offs, and events — making sure both teams are in sync on timelines, know what's coming, and have what they need from each other when they need it.
      • Coordinate with IT, Contracts, Product Owners, and other departments on marketing-dependent projects — proactively looping in the right people, flagging what they need from Marketing (or Marketing needs from them), and making sure nothing falls through the cracks between teams.
      • Represent Marketing's project status and needs clearly and credibly in cross-functional and executive settings.
    • Tools, AI & Process Efficiency
      • Serve as the team's Asana power user — building templates, workflows, and dashboards that make the whole team more efficient.
      • Bring genuine AI fluency to the role: use AI tools to streamline status reporting, project setup, meeting notes, content/asset workflows, and other repeatable work so the team spends less time on admin and more time executing.
      • Continuously look for process gaps and fix them — this role owns making projects run smoothly, not just tracking that they exist.

Requirements
      • 5-10+ years of experience in a Marketing Project Manager, Marketing Program Manager, Marketing Operations Manager, or similar role — ideally within an internal marketing team or agency.
      • Real marketing fluency, not just PM process. You understand core marketing tactics and KPIs well enough to manage projects intelligently — you know what an MQL is and how it fits into the funnel, you're comfortable with efficiency metrics (CPL, CAC, conversion rate, ROAS, etc.), and you understand the basics of campaign structures. You don't need to be the one running campaigns, but you need to know enough to ask the right questions, catch when something's off, and speak the same language as the specialists you're coordinating.
      • Cross-channel project experience. You've managed marketing projects that span both organic (content, SEO, social, email) and paid (ads, paid social, paid search) channels, and you understand how those channels work together rather than treating them as separate workstreams.
      • Asana expertise. You've run projects, portfolios, and workflows in Asana and can build structure that keeps a team organized without slowing them down.
      • AI fluency. You use AI tools regularly in your own work and can spot where they'll save the team time — this isn't optional or a “nice to have.”
      • Proven experience owning events and/or product launches from planning through execution, ideally at organizations that run a high volume of virtual/digital events.
      • Experience working with creative/design teams on asset production workflows.
      • A track record of successful cross-functional coordination — particularly between marketing and sales — including managing hand-offs, timelines, and competing priorities.
      • Experience working with and presenting to senior leadership/C-suite stakeholders, with the communication skills to match.
      • A proactive, detail-oriented operating style — you catch problems early and run a tight, well-documented ship.
      • Strong project management fundamentals: scoping, timelines, risk management, and KPI tracking.
      • Excellent relationship-building skills; you can hold people accountable to deadlines without damaging the relationship.
      • Nice to have- PMP or similar project management certification.
