About the Role

We’re looking for a highly organized Admin Assistant & Office Manager to help create a smooth, efficient, and welcoming office environment while providing day‑to‑day administrative support to our leaders. If you enjoy keeping things running behind the scenes, staying ahead of logistics, and supporting others so they can do their best work, this role is for you.

  • Provide day‑to‑day administrative support to multiple leaders, including scheduling, travel coordination, and meeting preparation

  • Manage calendars, schedule meetings, and support basic inbox organization

  • Partner closely with our Executive Assistant to coordinate leader support and ensure smooth administrative operations

  • Coordinate travel arrangements and prepare itineraries

  • Support meetings with agendas, materials, and follow‑ups

  • Keep the office stocked, tidy, and running smoothly; greet guests and manage conference room setup

  • Coordinate vendor requests, facilities issues, and equipment needs

  • Assist with onboarding logistics and IT access requests

  • Support internal communications, small events, and team culture moments

  • Process expenses and assist with routine administrative tasks

  • Collaborate with cross‑functional teams on operational and administrative projects, ensuring alignment and follow‑through

  • Prepare materials, gather information, and track action items for recurring and short‑term projects

Work Environment

• Hybrid schedule with three in-office days per week (Tuesday - Thursday)

• Regular movement around the office to support meetings and supplies

• Occasionally moving light office items (up to ~20 lbs)

You’re proactive, resourceful, and comfortable juggling a wide variety of tasks—from scheduling to office upkeep to helping coordinate culture moments. You notice what needs attention, follow through without reminders, and communicate clearly with everyone you support. You take pride in keeping things running behind the scenes and bring a friendly, professional presence to the office every day. You’re energized by project work—coordinating details, gathering inputs, keeping teams organized, and ensuring nothing falls through the cracks.

Required Qualifications
  • 5+ years of experience in administrative support, office coordination, or a similar operations-focused role

  • Proficiency with Microsoft 365, including Outlook (scheduling), Teams (communications), and Word/PowerPoint/Excel (documents and basic tracking)

  • Experience managing complex calendars, including multi-time-zone scheduling

  • Experience coordinating travel logistics, including booking flights, hotels, and transportation

  • Experience preparing meeting materials, agendas, and follow‑up communications

  • Ability to maintain an organized, well‑stocked, and welcoming office environment, including vendor coordination and basic facilities support

  • Strong written communication skills, especially for drafting internal messages and updates

  • Proven ability to track, prioritize, and complete multiple tasks, with consistent follow‑through

  • Ability to work in a fast-paced, hybrid environment with shifting needs

  • Ability to be onsite at our Minnesota office (1660 Highway 100 S Suite 590, St Louis Park) three days per week (Tuesday - Thursday)

  • Ability to move light office items (up to ~20 lbs) as part of routine office upkeep

Preferred Qualifications

• Experience supporting multiple leaders or executives

• Experience helping coordinate small events, internal communications, or culture-building activities

• Familiarity with onboarding workflows, including IT access and workspace setup

• Experience working with office vendors, facilities teams, or service-ticket systems

• Experience in a startup or high-growth company

• Basic comfort with expense tools (e.g., Concur) or office management software

Work Location & Eligibility

One Pass Solutions, Inc. offers a flexible work environment. We operate as a hybrid company in the Minnesota–St. Paul Twin Cities area, where team members are expected to work in-office three days per week. We also support remote work across a number of U.S. states.
