General Summary:  

The Sr Sales Project Coordinator plays a critical role in delivering exceptional sales support and customer service.  Engaged in operational, project management, administrative and diverse activities to support the sales organization. This includes collaborating with the sales team to oversee and manage projects that span our sales organization, ensuring they are executed with precision, meet deadlines, and achieve the desired outcomes.

 

Essential Job Functions:

  1. Analyze internal processes and develop recommendations for new processes, tools, and resources that deliver greater efficiency, increased quality, and improved output. 
  2. Implement mechanisms for optimal project information management. Develop and manage communication plans for sales and product initiatives and enhancements.
  3. Identify reporting needs; create, maintain, analyze, and update reports for Sales to drive project initiatives.
  4. Coordinate with Product, Marketing and Sales Enablement in creating training plans and materials to educate the sales team on new products, initiatives, and enhancements.
  5. Coordinate with Product, Marketing and Sales Enablement to prepare client-facing materials for client onboarding, training, and presentations when necessary.
  6. Prepare high-quality, professional, and effective materials which support project goals and objectives. 
  7. Build and maintain positive relationships between customers and the Company, by working with Sales to ensure that any internal and/or client facing concerns are appropriately managed through effective communications.
  8. Provide troubleshooting and problem-solving support required on a day-to-day basis. 
  9. Communicate with Sales to provide information, answer questions and respond to their needs in a timely manner. This includes joining client calls and presenting to clients where applicable.
  10. Coordinate with Product, Fulfillment and Sales Support to proactively identify, report, and seek or create solutions to issues which may lead to customer dissatisfaction.
  11. Coordinate with Product, Sales Enablement and Fulfillment to qualify and validate customer-specific needs and develop solution criteria.
  12. Build effective relationships with key individuals throughout the organization.
  13. Develop and maintain extensive knowledge and serve as the expert in the use of Company products and solutions.
  14. Continually research and implement best practices for administrative protocols.
  15. Communicate with cross-functional teams in support of the sales team.
  16. Assist with employee onboarding and ongoing training initiatives.
  17. Lead, motivate, and coach sales project coordinators responsible for daily interactions with sales teams.
  18. Provide feedback and 1:1 coaching for continuous success.
  19. Enhance team competence by training, mentoring, and guiding on product and procedural questions.

  5. Perform other miscellaneous duties as assigned by management.

Preferred Qualifications

 

Knowledge, Skill, and Abilities:

  1. Ability to communicate with individuals at all levels in the Company and with various business contacts outside of the Company in an articulate, professional manner.
  2. Ability to manage a diversified workload utilizing superior time management, prioritization, and organization skills with strong attention to detail. Must be able to multi-task to meet strict deadlines, while not sacrificing work integrity.
  3. Ability to quickly assess situations and provide immediate and appropriate feedback.
  4. Demonstrated skills in problem resolution and best practice customer service processes to handle customer service issues with a positive outcome.
  5. Proven ability to build trust and rapport with customers and team members.
  6. Ability to collaborate with internal departments to develop client solutions.
  7. Proficient knowledge of MS Office Suite (Word, Excel, Outlook, PowerPoint) and Internet technologies.
  8. Knowledge of Customer Relationship Management Systems (CRMs).
  9. Ability to work in and maintain knowledge of multiple database systems (Data Axle Platform, IDMS, MMDB, Workbench, etc.)
  10. High level of comfort with a technology-driven, fast-paced environment that requires ability to quickly synthesize multiple sources of data.
  11. Ability to work without supervision on highly complex projects.
  12. Possess self-direction, tact, diplomacy, and a courteous and professional demeanor.
  13. Ability to be meticulous with accuracy and detail.
  14. Must be deadline sensitive and adaptable to change.
  15. Demonstrate team player qualities.
  16. Exceptional written and verbal communication skills.
  17. Ability to lead, train and motivate.

 

Education, Experience, and Certification:

  1. Bachelor’s degree or equivalent is required. *
  2. 5 to 7 years prior relevant experience is required. *
  3. Experience at building strong relationships internally and externally.
  4. Experience in coaching, listening, active communication and interpersonal skills.

Scope of Job:

  1. May have direct or indirect reports
  2. May have supervisory responsibility; general supervision received.
  3. Working conditions are good, with minimal travel, and a consistent work week.
  4. Errors may be high risk and potentially costly.
  5. Contact with others inside and outside the Company is frequent and regular.
  6. Some access to confidential data.
