We are currently looking for a motivated Virtual Assistant with expertise in administrative / executive assistance to join our client's team and take their operations to the next level.
In this role, you will be responsible for performing various tasks, including:
- Support daily account management by working closely with an Account Director and serving as a key point of coordination across clients, internal teams, creative partners, and vendors;
- Manage multiple client projects and media campaigns simultaneously, ensuring timelines, deliverables, and deadlines remain on track;
- Assign tasks, monitor progress, and coordinate execution across digital teams, creative partners, media partners, and vendors;
- Oversee campaign launches across digital and traditional media channels, including Meta, influencer, and other paid media initiatives;
- Monitor campaign pacing and execution to ensure campaigns are running according to plan, budget, and strategy;
- Review campaign assets and specifications to help ensure correct formats and sizes before launch;
- Create presentations and proposals and compile research to support client accounts and campaign initiatives;
- Monitor campaign performance, analyze data, and identify opportunities to support campaign optimization;
- Prepare and lead regular client-facing digital performance reporting, communicating key metrics, results, and relevant campaign insights;
- Maintain strong client relationships through proactive communication, reliable follow-through, and excellent service;
- Support client retention by identifying needs, addressing issues proactively, and ensuring a consistently positive client experience;
- Assist with media trafficking, trading, reporting, and billing processes to ensure accuracy and timely execution;
- Maintain organized project documentation and task management systems to ensure campaign details and responsibilities are clearly tracked;
- Help prevent operational errors by carefully reviewing campaign details, deadlines, assets, and deliverables throughout execution;
Requirements
- Previous experience in Client Services, Account Management, Project Management, Media, Advertising, Marketing, or a similar client-facing role;
- Strong organizational and project management skills with the ability to manage multiple campaigns and priorities simultaneously;
- Excellent attention to detail, particularly when managing campaign timelines, assets, budgets, and deliverables;
- Strong client-facing communication skills and the confidence to communicate professionally with clients, partners, and internal teams;
- Ability to work cross-functionally with digital teams, creative partners, media partners, and vendors;
- Experience tracking projects, assigning tasks, and ensuring deadlines and deliverables are completed accurately and on time;
- Ability to interpret campaign performance data and contribute to optimization decisions;
- Proactive and accountable working style with strong follow-through;
- Strong written and verbal English communication;
- Comfortable learning new technology, reporting platforms, and media systems;
- Ability to work independently while collaborating closely with a small, fast-moving team;
