Manage inbound client communications, schedule and coordinate meetings, prepare and edit business documents, maintain CRM and spreadsheets, compile reports and data summaries, and provide ad-hoc operational support for recruitment engagements in a remote environment.

Haldren is seeking a driven Operations Administrator to support our client operations. You will focus on managing our inbound client mailbox, handling correspondence from executives and organizations seeking leadership solutions, and seamlessly coordinating with our team as engagements progress. We're looking for an individual who can leverage consulting or related experience to manage client interactions at this level effectively, even if you won't be the one driving the engagement once it moves forward.
- Client Correspondence: Manage and respond to incoming inquiries, handle communication professionally, exercise judgment on what information and materials to share, and ensure each contact is appropriately progressed.
- Scheduling & Coordination: Send relevant decks and materials, arrange meetings and calls, and ensure the team has full context before taking over.
- Business Documentation: Review and edit a range of business documents with close attention and a high degree of accuracy, ensuring content is correct, consistent, and appropriate before it moves forward.
- Data & Reporting: Maintain spreadsheets, capture data, and compile stats and summaries to keep the team informed and records accurate.
- Records & Organization: Keep CRM records, internal platforms, files, and documents organized and current, communicating updates across channels to keep the team informed.
- Operational Support: Take on projects and business support tasks as they arise, adapting to shifting priorities and delivering reliably.
Requirements
- Bachelor's degree
- Excellent English skills
- Background in a professional services, consulting, legal, or administrative environment, with an understanding of business operations and the judgment to navigate varied responsibilities.
- Excellent written communication skills for professional correspondence and client communication at a senior level.
- Experience using CRM systems or organizational platforms; comfortable working across digital tools and spreadsheets.
- Able to work independently, manage a varied workload, and keep pace with shifting priorities in a remote environment.
