ADMINISTRATIVE ASSISTANT – FINANCE

Village of Lemont, Illinois | Part-Time

Starting Salary: $25.75 per hour + DOQ

Schedule: 27.5 hours per week

The Village of Lemont is looking for a dependable and motivated Administrative Assistant – Finance to join our Finance Department. This is a great opportunity for someone who enjoys variety in their work and wants to be part of a professional, collaborative, and supportive team serving the Lemont community.

This position provides administrative and financial support to the Finance Department while also assisting residents and providing backup support for front desk and utility billing operations. You'll have the opportunity to learn a variety of municipal finance functions while working alongside an experienced team.

WHAT YOU'LL DO

As an Administrative Assistant – Finance, you will play an important role in keeping the Finance Department running smoothly. 

Responsibilities include:

  • Processing accounts receivable and miscellaneous billing activities.
  • Providing backup support for utility billing, including data entry, account maintenance, payment processing, and customer inquiries.
  • Processing Procurement Card transactions for Village departments in accordance with established procedures and internal controls.
  • Assisting with Finance-related Freedom of Information Act (FOIA) requests by locating, compiling, and organizing responsive records.
  • Reconciling vehicle sticker sales and assisting with researching and resolving discrepancies during the sales season.
  • Assisting with vendor reporting requirements, including PA 102-0265.
  • Establishing and maintaining credit card vendor profiles.
  • Maintaining accurate financial and administrative records and files.
  • Performing data entry and uploading records into the Village's ERP, Laserfiche, and other applicable systems.
  • Providing professional and courteous customer service to residents and members of the public.
  • Assisting with daily front desk operations and providing coverage when needed.
  • Creating USPS Priority Mail labels and assisting with general office and departmental needs.
  • Following established financial procedures, internal controls, safety policies, and records retention requirements.
  • Performing other related duties and special projects as assigned.

Requirements

WHAT WE'RE LOOKING FOR

The ideal candidate is someone who is organized, dependable, professional, detail-oriented, and enjoys working with both people and numbers.

We are looking for someone who has:

  • High school diploma or equivalent.
  • One to three years of administrative, financial, accounting, clerical, or customer service experience preferred.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Professional and courteous customer service skills.
  • Ability to work independently while also being a collaborative member of a team.
  • Ability to prioritize multiple assignments and meet deadlines.
  • Proficiency with Microsoft Office and modern office technology.
  • Experience with ERP systems, Laserfiche, or similar software is a plus.
  • Basic knowledge of accounting, accounts receivable, financial transactions, or municipal finance is a plus.
  • Ability to maintain confidentiality when handling financial, customer, and other sensitive information.

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT

Work is primarily performed in an office environment with regular interaction with Village employees, residents, and members of the public. The position requires the ability to operate computers and standard office equipment, communicate effectively, and perform routine office activities.
