Job Title:Administrative Coordinator

Department:Undergraduate Education | Frank W. Hale, Jr. Black Cultural Center

Provides administrative and operational support to the Frank W. Hale Jr, Black Cultural Center (HBCC) by assisting with routine office functions, scheduling activities, facility-related tasks, and basic program logistics. This role performs structured, task-based assignments under guidance, following established procedures to support the daily operations of the center.

The position contributes to maintaining an organized and efficient work environment by supporting reservation processes, documentation, communications, and general administrative workflows. It also assists with basic facility coordination, including monitoring spaces, reporting maintenance needs, and supporting event setup and readiness.

Working closely with professional staff, the role supports communication with students, visitors, and campus partners by responding to routine inquiries and helping coordinate information sharing. The position may also assist with onboarding and scheduling of student workers and provide support for purchasing and administrative processes by preparing required documentation.

This role is primarily focused on executing routine tasks and supporting ongoing operations rather than independently managing processes or making strategic decisions. Work is completed under defined guidelines, with direction and oversight provided for new or more complex tasks to ensure consistency, accuracy, and alignment with departmental practices.


Administrative & Organizational Support

  • Assist with maintaining space reservations, calendars, and scheduling systems
  • Support event logistics by preparing materials, coordinating basic setup needs, and assisting staff during events
  • Respond to routine inquiries and direct questions to appropriate staff members
  • Maintain and organize records, files, and administrative documentation
  • Assists with tours, visitor coordination, and general facility engagement activities
  • Assist with communication activities such as distributing information and updating internal materials
  • Support coordination of routine operational tasks across the center as directed
  • Assist with onboarding and scheduling of student workers under supervision
  • Provide support for hiring-related administrative tasks such as documentation and scheduling interviews
  • Follow established procedures to support administrative policies and operational practices
  • Assist with maintaining systems and processes under direction from leadership
  • Support communication with university departments and partners by relaying information and coordinating logistics
  • Provide support for purchasing and reimbursement processes by preparing and submitting required documentation
  • Assist with tracking basic budget-related information and maintaining records
  • Perform general administrative tasks to support daily operations

Building Operations Support

  • Assist with routine building operations and facility-related tasks
  • Support building access procedures, including opening and closing tasks as assigned
  • Submit and track maintenance requests following established processes
  • Perform routine checks of spaces for cleanliness and readiness and report issues to appropriate staff
  • Assist with maintaining operational standards and following facility procedures

Minimum Required Qualifications

  • Bachelor's degree or equivalent experience.
  • Strong written and verbal communication skills
  • Knowledge of Microsoft Office Programs (Word, Excel, PowerPoint, etc.)

The Targeted Hiring Range for this position is $20.24 - $24.00.  The actual salary paid to an individual will vary based on multiple factors, including but not limited to, education, years of experience, internal equity, etc.
