Job Title: Administrative Supervisor/Grand Jury

Reports to: Office Manager

Grade: 18 (union)

Salary: $79,895

Status: Entry Level (This may vary for internal candidates only)

Location: 2650 S California/Leighton Courthouse

Bureau: Administrative Services

Division/Unit: Grand Jury

Primary Function:

To provide supervision for the administrative staff assigned to Grand Jury, Preliminary Hearing and Branch 66 units as well as assist the Assistant State’s Attorney’s assigned to the unit.

Working Environment: Hours: Monday – Friday: 8:30am – 4:30pm

Physical Requirements:

Medium Work: The position requires the ability to stand or walk frequently, often for extended periods. You may need to lift, carry, push, or pull objects weighing up to 20 pounds regularly, and occasionally heavier items. The job may also involve a significant amount of walking or standing relative to sedentary roles.

Duties and Responsibilities:

  • Maintain CC Time information for the administrative staff assigned to the unit
  • Initiate and administer authorized disciplinary actions
  • Distribute assignments to staff
  • Assist in troubleshooting matters that may arise in the unit
  • Facilitate annual staff evaluations
  • Work directly with Preliminary Hearing Supervising Assistant State’s Attorney
  • Serve as the liaison to the Attorney General’s office for scheduling indictments
  • Communicate daily with internal and external agencies, including special units and police agencies
  • Utilize various databases as it relates to work in the Grand Jury
  • File all necessary documents with the Clerk of the Circuit Court
  • Facilitate telephone calls and direct them to the appropriate party
  • Copy, file, and email correspondence as necessary
  • Maintain confidentiality of information
  • Maintain and organize digital records in SharePoint
  • Oversee daily operations for the Branch 66 and Branch 98 court call
  • Perform other duties and responsibilities as required

Qualifications:

Required:

  • The candidate must have excellent verbal and written communication skills, excellent organizational skills, and the ability to multi-task.
  • The candidate must be proficient in navigating the preliminary hearings process, which includes a thorough understanding of AOIC codes and class order of charges
  • The candidate must be able to manage a high-volume caseload daily.
  • The candidate must be able to work in a fast-paced environment.
  • Knowledge of Microsoft Word applications.
  • Working knowledge of CRIMES

Preferred:

  • Working knowledge of Clerks and SharePoint.
  • Typing speed of 50+wpm.
