Emerge to the Top of Your Career

At MERGE, we strive to create a superior work experience where talented and ambitious people grow. An experience that encourages people to think higher and feel deeper. An experience where people engage their minds and hearts to do the best work of their careers.

As our Adobe Workfront Administrator, you will…

Be responsible for the daily management, configuration, and optimization of the Workfront platform, ensuring it aligns with organizational processes and drives project delivery efficiency. The ideal candidate boasts extensive experience in Workfront administration—specifically in user management, custom form and project template creation, layout templates, and sandbox environment management—as well as comprehensive reporting skills and familiarity with work management best practices.

Beyond daily platform management, your primary responsibilities will include: Collaborating with project, resource, and marketing stakeholders to optimize Workfront's intake, planning, execution, and reporting for advertising workflows. Additionally, partnering with key contacts to unify Workfront with AEM Assets, GenStudio, Firefly, and Creative Cloud, accelerating content creation, review, governance, and activation.

What You’ll Do

Workfront Administration & Optimization

  • Serve as the primary system administrator for all Workfront environments (Production, Preview, and Custom Refresh Sandboxes), ensuring optimal performance, security, and scalability.
  • Manage and configure system-wide preferences, including project preferences, custom forms, job roles, teams, and groups.
  • Oversee global review and approval processes, including automated workflows and milestone paths.
  • Actively participate in the full lifecycle of Workfront configuration, from requirements gathering to testing and deployment.
  • Manage system branding to align with internal guidelines for  consistency and a cohesive user experience.
  • Coordinate with TechOps regarding SSO configuration, and audit logs to ensure compliance with internal policies.
  • Implement a recurring audit schedule for custom forms and fields to identify and deprecate unused objects, preventing clutter and performance degradation.
  • Establish a formal change management process for any configuration updates, including peer review among administrators, to prevent unintended impacts on existing reports or forms.

User Management & Governance

  • Manage user lifecycle, including creating accounts, assigning licenses, and modifying user profiles based on business requirements.
  • Enforce the "Deactivate, Don't Delete" policy to retain historical data and reporting integrity.
  • Design and maintain user access levels and permissions to ensure data security and appropriate visibility.
  • Develop a standardized onboarding/offboarding workflow for user management that includes periodic access level reviews to ensure the principle of least privilege is maintained.

Process Optimization & Configuration

  • Manage the UI configuration and layout templates to create tailored experiences for different user groups (e.g. Project Managers).
  • Create and define custom work schedules to ensure accurate resource planning.
  • Lead the management of document integrations and proofing workflows.

Reporting & Data Analytics

  • Ensure configuration and data is structured to facilitate AI engagement and reporting.
  • Develop and maintain sophisticated reports and dashboards using best-practice reporting techniques, such as leveraging wildcards for dynamic data filtering.
  • Deliver ad hoc data extracts and system audits to provide business leadership with visibility into project metrics and resource utilization.
  • Create a shared "Report Library" with standardized templates for common business questions to discourage the creation of redundant or inaccurate reports.

Cross-Functional & Strategic Leadership

  • Manage the organization’s release schedule and conduct impact assessments for all new features before rollout.
  • Develop and distribute release notes and provide training to end-users on new functionality or process changes.
  • Advise on Workfront best practices, change management, and governance; work closely with stakeholders to align Workfront configurations with team-specific workflows.
  • Establish a Workfront "Center of Excellence" or user champion group that meets regularly to gather feedback, discuss upcoming roadmap changes, and identify areas for process improvement.

What You’ll Bring

  • Minimum 5+ years of hands-on Adobe Workfront administration experience.
  • Demonstrated experience managing complex Workfront environments, including custom form development, layout templates, and resource management features.
  • Deep expertise with Workfront reporting, including advanced filters, groupings, and wildcard variables.
  • Strong understanding of project management methodologies and organizational hierarchies (Portfolios, Programs, Projects).
  • Exceptional communication skills, able to translate business requirements into technical configurations.
  • Experience with release management and sandbox testing protocols.
  • Working knowledge of Native Workfront Integrations.

Preferred:

  • Adobe Workfront Professional/Administrator certification.
  • Familiarity with Workfront Planning configuration and best practices.
  • Experience in the Advertising, Media, or Professional Service industry.
  • Working knowledge of Workfront Proof and automated review workflows.
  • Hands-on experience with Google Suite (Docs, Sheets, Drive) for documentation and collaborative reporting.
  • Experience implementing or managing AI-assisted features (such as Adobe AI Assistant) to drive operational efficiency is a plus.
  • Experience supporting Workfront integrations with third-party systems.
