Provide administrative direction to assigned program to include collaborating in the development of the program’s objectives and strategy, managing and coordinating financial development and administration and assessing and coordinating project interdependencies across teams. Ensure program objectives through effective communication, coordination and standardization across departments and other key stakeholders in the system.

Responsibilities

Program/Project Management/Monitoring:

•   Coordinate and participate in meetings with staff and faculty members to determine objectives of the program and/or center and to identify internal and external resources available to meet those objectives. 
•   Engage with teams and stakeholders within the CMO Office and across the UC Health system to deliver on project milestones and goals. 
•   Prepare progress and executive summary reports for various stakeholders in CMO Office and across the system including Executive Leadership Team, Operations and other areas of the UC Health System as required. 
•   Assist with creation and management of program budget and forecasting. 
•   Facilitate the UC Health System Goal Setting process with key stakeholders across the system, including deliverables and timelines.
•   Manage and maintain the overarching portfolio of work related to the vision of the CMO Office and associated teams including scope, deliverables, and timelines. 
•   Lead and facilitate the successful implementation of projects and activities, which require researching issues, data/information collection, analysis and presentations that align with the vision of the CMO Office and the UC Health system.  
•   Collaborate with CMO Office teams to build and maintain standardization within teams and across the office. 
•   Coordinate arrangements for special programs such as speaker series, office Holiday events and all necessary financial arrangements.

Communication/Relationship Management:

•   Create and manage communications throughout the program for internal and external announcements. 
•   Assist with program position control and onboarding of all new hires across teams. 
•   Create, edit and deliver program and/or system integrated presentations.
•   Identify opportunities to bridge gaps among CMO Office and align operational, project and performance improvement work across pertinent stakeholder groups. 
•   Arrange and manage interdisciplinary team meetings in collaboration with program executives.

Alignment and Integration:

•   Work with CMO Office Leadership to develop strategies and tactics to integrate support throughout the UC Health system, including all sites, UC College of Medicine, and UCP. 
•   Manage ad hoc projects for the CMO Executives including for Service Line and Clinical Domain optimization as well as Ambulatory initiatives. 
•   Partner with relevant department leaders to align system wide external programs through standard processes and relevant guidelines. 
•   Maintain CMO Office documentation of processes in centralized location.
•   Identify areas of improvement through the integration of teams across the CMO Office. 

Other Duties as Assigned:

•   CMO Office team support in the form of project management, administrative support and/or gap fill.

Qualifications

Minimum Required: High School Diploma or GED. Preferred: Bachelor's Degree. | Minimum Required: 1 - 2 Years equivalent experience. Preferred: 3 - 5 Years equivalent experience.
