About the Role:

ENFOS is a profitable, bootstrapped SaaS company serving the world’s leading industrial enterprises. We operate at a defining moment in our growth: $8M+ ARR, a new flagship office in Chicago’s Fulton Market, and an expanding team executing against a plan to reach $100M ARR. We move fast, hold high standards, and build for scale.

This role sits at the center of how the company operates. As Business Operations Coordinator, you are a tactical and strategic operator who keeps the business running cleanly while leadership focuses on growth. You will own a broad and consequential portfolio spanning CEO support, accounts payable, payroll and HR onboarding, event coordination, and administration of the core systems that run the business.

This is not a coordination role or an administrative one. It is built for someone with genuine business acumen, strong financial instincts, and the organizational horsepower to run multiple high-stakes functions in parallel. You will be a direct report to the CEO and a trusted operator across the full leadership team.

What You’ll Do:

1. CEO & Executive Support

The CEO’s time is the company’s most constrained resource. You will protect it, organize it, and ensure the right information flows to and from leadership without friction.

  • Manage the CEO’s calendar, inbox triage, travel logistics, and meeting preparation
  • Coordinate with leadership team members across time zones to drive scheduling and follow-through
  • Own internal and external correspondence on behalf of the CEO with precision and professionalism
  • Prepare materials, agendas, and briefing documents for leadership meetings, board updates, and external engagements
  • Manage confidential information with the discretion expected of a direct CEO partner

2. Accounts Payable & Financial Operations

ENFOS runs lean. Every dollar is tracked and every vendor relationship is managed deliberately. You will own the AP function and serve as the operational link between commitments made and payments executed.

  • Process vendor invoices, expense reimbursements, and payment runs with accuracy and timeliness
  • Maintain vendor records and manage AP workflows in coordination with finance leadership
  • Support month-end close activities including invoice reconciliation and accrual documentation
  • Own Ramp (corporate card platform) administration: card management, expense categorization, and receipt compliance
  • Serve as the day-to-day liaison to ENFOS’s banking relationships for operational needs

3. Payroll & HR Onboarding

A growing team requires airtight people operations. You will own the full employee lifecycle mechanics: onboarding, offboarding, and on-cycle payroll delivery. When someone joins ENFOS or leaves it, this role owns the process end to end.

  • Administer payroll processing through Rippling, ensuring accuracy and on-cycle delivery
  • Own the new hire onboarding workflow: offer letter coordination, system provisioning, Day 1 readiness, and benefits enrollment
  • Manage employee offboarding including system deprovisioning, equipment retrieval, and final pay coordination
  • Serve as the primary point of contact with Human Interest (401k) for employee enrollment and plan administration
  • Maintain employee records, employment documentation, and HR compliance files with meticulous organization

4. Systems Administration

You will own admin access and day-to-day administration for the core operational systems that run ENFOS, including:

  • Rippling (HRIS, payroll, benefits, device management)
  • Microsoft 365 (user provisioning, license management)
  • Ramp (corporate cards, expense management)
  • Navan (travel and expense booking)
  • Workable (applicant tracking)
  • Checkr (background screening)
  • PandaDoc (contract execution and document management)
  • Scribe (process documentation)
  • Nextiva (business phone)
  • VacationTracker (PTO management)

You will serve as the internal point of contact for access requests, troubleshooting, vendor renewals, and license optimization across this stack.

5. Events & Office Operations

The Fulton Market office is a statement about where ENFOS is going. You will make it run.

  • Plan and execute company events including all-hands meetings, team offsites, client visits, and milestone celebrations
  • Own logistics for the Fulton Market office: vendor relationships, supplies, facilities coordination, and Day 1 setup for new hires
  • Coordinate team travel and accommodation for company events and conferences
  • Manage company swag, branded materials, and gifting programs

You will be evaluated on:

  • CEO calendar and communications managed proactively with zero dropped balls
  • AP processed accurately and on schedule with clean documentation
  • Payroll delivered on cycle with no errors and new hires fully onboarded and productive on Day 1
  • Core systems administered cleanly: the right people have the right access and nothing falls through the cracks
  • Events and office operations run seamlessly with no visible seams to attendees or leadership

The CEO’s time is protected, well-organized, and focused on the highest-leverage work


Requirements

What You’ll Need:

Required

  • 3 to 5+ years in management consulting, chief of staff, controller, or business operations role
  • Demonstrated ability to own multiple high-stakes operational workstreams simultaneously without loss of quality or follow-through
  • Strong financial acumen: comfortable with AP workflows, expense management, payroll mechanics, and basic accounting operations
  • Exceptional organizational instincts with a documented, systematic approach to managing complexity across people, vendors, and systems
  • Proficiency with modern business tools: Microsoft 365, Slack, and cloud-based SaaS platforms
  • Discretion with sensitive information including compensation, personnel matters, and strategic plans
  • Based in or willing to commute to Chicago’s Fulton Market neighborhood five days per week

Preferred

  • Experience in a high-growth SaaS or technology company where process infrastructure was built, not inherited
  • Background in financial operations, controller functions, or consulting with cross-functional project ownership
  • Hands-on experience with Rippling, Ramp, or comparable HRIS and expense platforms
  • Exposure to payroll processing, HR onboarding workflows, or benefits administration
  • Experience coordinating internal events and offsites for growing teams
