The Clinical Initiatives Manager for the Clinical Center of Excellence (CCOE; Clinical Department) is responsible for coordinating, executing, and monitoring the strategic initiatives of the Clinical Center of Excellence. This role serves as the operational backbone of the department by leading clinical project management efforts, supporting data-driven decision-making, and ensuring high-quality execution of initiatives that improve clinical excellence across the organization.
 
This individual works as a member of the CCOE and works closely with other clinical leaders, operational leaders, analysts, and subject matter experts to manage projects from conception through implementation. Responsibilities include coordinating cross-functional workgroups, maintaining project plans and timelines, organizing clinical and operational data, supporting quality assurance and compliance initiatives, developing dashboards and reports, and ensuring organizational priorities remain aligned with the company's clinical strategy.
 
 This role is highly collaborative and requires exceptional organization, project management, analytical thinking, and communication skills. Success is measured by the ability to translate strategic priorities into well-executed projects that improve clinical areas such as clinical quality, operational efficiency, regulatory compliance, client outcomes, and teammate career pathway progress.

  • Create standardized systems that improve consistency across clinical programs.
  • Support continuous quality improvement through organized project execution.
  • Enhance collaboration across clinical, operational, training, compliance, and technology teams.
  • Increase organizational efficiency through effective project coordination and process improvement.
  • Support executive decision-making through reliable data analysis and performance reporting.

Essential Functions: 

Clinical Project Management

  • Manage multiple concurrent Clinical Center of Excellence initiatives from planning through implementation
  • Develop project plans, timelines, milestones, dependencies, and communication plans.
  • Coordinate cross-functional teams and facilitate project meetings.
  • Monitor project risks and maintain department project portfolio.
  • Develop and update project documentation & policies

Quality Assurance & Continuous Improvement

  • Coordinate quality assurance initiatives and quality improvement projects.
  • Track audit findings and corrective action plans.
  • Support development of standardized clinical processes.

Data Organization & Analytics

  • Maintain clinical quality, compliance, operational, and outcomes datasets.
  • Develop dashboards, scorecards, and executive reports.
  • Analyze trends supporting executive decision-making.

Compliance & Clinical Operations Support

  • Coordinate and support internal audits and implementation of regulatory and organizational requirements.
  • Manage, refine, and support the development of compliance policy documentation and systems
  • Maintain documentation supporting accreditation and quality reviews.

Process Improvement

  • Evaluate workflows and recommend efficiency improvements.
  • Apply PDSA, Lean, root cause analysis, and process mapping methodologies.

Communication & Collaboration

  • Prepare executive presentations and project updates.
  • Coordinate communication among cross-functional stakeholders.
  • Coordinate and support project meetings, documenting action items, and tracking deliverables

Key Performance Indicators

  • Accreditation progress
  • Compliance defensibility through supporting reporting, systems analysis, data management 
  • Strategic project delivery rate: projects delivered on time per quarter as agreed upon with the CCO
  • Support to quality and compliance corrective action closure rate: 95% closure rate per quarter 
  • Process improvement: 4 to 6 documented CCOE/org improvements annually


Travel: 

Regular travel is not required for this position. However, there may be conferences, work sessions, retreats for which travel would be appropriate/required. This would be decided by the CCO/CEO.

Qualifications:

Education: 

  • Master’s degree in applied Behavior Analysis, Psychology, Education, Healthcare Administration, or related field.
  • Current certification as a Board-Certified Behavior Analyst (BCBA).
  • Minimum of 3 years of clinical ABA experience.
  • Strong knowledge of organizational behavior management, I/O psychology, project management efforts, systems analyses, etc.
  • Strong analytical, organizational, and communication skills.

 Experience (ideal):

  • Experience in multi-state ABA service delivery organizations.
  • Experience with accreditation standards (e.g., BHCOE, CARF, ACQ).
  • Experience leading large-scale quality improvement initiatives.
