Job Description: Events Operations Associate
Reports to: Global Events Operations Lead
Role Summary
The Events Operations Associate supports the execution of Coresight Research’s virtual and in-person events, including webinars, member sessions, sponsored events, executive dinners, roundtables and conferences. The role ensures that event logistics, communications, platforms and follow-up activities are managed efficiently and professionally.
Key Responsibilities:
1. Event Setup and Coordination
- Support the planning and execution of virtual and in-person events.
- Coordinate speakers, attendees, venues, vendors and event materials.
- Maintain event timelines, task trackers, checklists and run-of-show documents.
2. Marketing and Communications Support
- Prepare and schedule event invitations, reminders and follow-up emails through HubSpot.
- Coordinate event assets, including banners, presentations, videos, agendas and signage.
- Track registrations, RSVPs and outreach activities to support attendance goals.
3. Platform and Technical Management
- Set up and manage event platforms such as Microsoft Teams, Zoom, Restream and HubSpot.
- Conduct technical checks and ensure that settings, permissions and backup arrangements are in place.
- Record, archive and organise event recordings, attendee data and supporting materials.
4. Cross-Team Collaboration
- Work closely with the Events Lead on timelines, priorities and event deliverables.
- Coordinate with Research, Advisory, Sales, Social Media, Production and Sales Operations teams.
- Support sponsored events, member sessions and event-related reporting requirements.
5. Post-Event Follow-Up
- Send thank-you emails, replay links, surveys and supporting materials to attendees and speakers.
- Compile attendance data, engagement metrics and event performance reports.
- Support the repurposing of event content into video clips, social media posts and event recaps.
Qualifications and Skills
- 3 to 5 years of experience in event coordination, marketing, or a similar role.
- Familiarity with HubSpot, Microsoft Teams, Zoom, Restream or similar platforms..
- Strong organisational, communication and problem-solving skills, with excellent attention to detail.
Education:
Bachelor's or master's degree in marketing, Business, Technology, or a related field.
