The Opportunity

OuterSignal is hiring an Executive Assistant to the CEO. This is a high-trust, high-impact role at the center of how the company operates day to day. You'll support the CEO directly while also serving as a force multiplier for the broader executive team — keeping the leadership group organized, focused, and moving at the pace this business demands.
This is not a role for someone who wants to manage calendars and wait for direction. The right person will anticipate needs before they're expressed, take ownership of complex logistics, and quietly make the organization run better. If you do your job well, the people around you will do their best work.

What You’ll Do

  • Manage the CEO's calendar, travel, and communications — with the judgment to protect time for what matters most and the discretion to handle sensitive information.

  • Support the broader executive team on scheduling, logistics, and operational coordination across functions.

  • Plan and execute company-wide events and off-sites — from leadership retreats to all-hands — owning the details end to end so the team can show up and focus.

  • Prepare materials for internal and external meetings, including agendas, briefing documents, and follow-up summaries.

  • Manage vendors, expenses, and administrative workflows that keep the leadership team running efficiently.

  • Serve as a reliable point of contact for internal and external stakeholders on behalf of the CEO's office.

  • Identify gaps in how the executive team operates and build the processes to close them.

What We're Looking For

  • 3+ years supporting a senior executive or leadership team in a fast-moving environment — startup or high-growth company experience strongly preferred.

  • Exceptional organizational skills and the ability to manage competing priorities without dropping anything.

  • Strong written communication — you'll be drafting on behalf of the CEO and should be able to match voice and intent.

  • High emotional intelligence and the instinct to handle sensitive situations with care and discretion.

  • Proactive by nature — you solve problems before they surface and flag issues before they escalate.

  • Based in New York City, with the flexibility to work in-person as needed.
