At TaxGPT, you'll be part of a fast-growing team dedicated to commitment and excellence. This is your opportunity to work on the latest technology alongside a group of passionate professionals, pushing the boundaries of what's possible in the tax space.
Salary Range: $75,000 - $95,000 annually
Who we're looking for
We are seeking an Executive Assistant to support both our Chief Marketing Officer and Chief Revenue Officer. This is a shared role for someone who is operationally minded and thrives on keeping two busy executives organized, focused, and moving forward. Once we've set guardrails and timelines, you'll take what we give you and execute on it.
You're the kind of person who:
- Is operationally minded: you take direction, build a plan, and follow through without needing to be reminded
- Communicates clearly and professionally, both verbally and in writing
- Collaborates easily across teams and builds strong working relationships at every level
- Has a strong attention to detail and catches what others miss
- Balances multiple priorities, including competing requests from two executives, and knows when to escalate
- Handles confidential information with discretion and good judgment
- Stays calm and resourceful in a fast-paced, high-growth startup environment
Executive Operations & Prioritization
Act as the operational partner to our CMO and CRO, taking direction, guardrails, and timelines and running with them so decisions don't stall. Examples include managing both inboxes, triaging inbound requests, and balancing competing priorities between two executives.
Calendar & Time Management
Protect our time as carefully as you schedule it. You'll have visibility into the work on our plates and will make sure our calendars leave room to get it done, not just to attend meetings. This also includes booking and managing travel.
Meeting Preparation & Follow-Through
Make sure every important meeting is prepared for and acted on afterward. Examples include preparing briefing docs and agendas, taking notes in key meetings, and following up with team members on the action items assigned to them.
Communications & Executive Materials
Support us in communicating clearly and consistently across the company. Examples include drafting routine correspondence and internal announcements for our review, and helping prepare presentation materials such as monthly updates, quarterly performance reviews and board deck sections.
Reporting, Systems & Cross-Team Coordination
Keep information flowing and projects moving across teams. Examples include helping build regular reports, managing work in Confluence and Jira, and coordinating cross-team initiatives.
Relationships & Administration
Handle the details that keep relationships and operations running smoothly. Examples include coordinating customer, prospect, and partner meetings, managing relationship touchpoints, scheduling interviews, and processing expenses and vendor invoices.
Required:
- 4+ years of experience as an Executive Assistant, including direct support of C-suite or senior executives
- Experience supporting more than one executive at the same time
- Excellent written and verbal communication skills
- Proven ability to manage complex calendars, inboxes, and travel across time zones
- Strong organizational skills and the ability to manage multiple priorities and deadlines
- Proficiency with Google Workspace and comfort learning new tools quickly
- Experience working remotely with distributed teams
Preferred:
- Experience in a high-growth B2B startup environment
- Hands-on experience with tools like Confluence and Jira
- Experience supporting marketing or sales leaders
- Experience pulling data and helping build recurring reports
Nice to have:
- Background in the tax, accounting, or financial services industry
- Familiarity with Slack, HubSpot, or similar collaboration and CRM tools
- Experience using AI tools to streamline administrative work
