LOCATION (Club / Corporate): Corporate - CO

Hybrid schedule (Tuesday/Wednesday/Thursday in office)

COMPENSATION: $70,000-$75,000 annually


JOIN OUR TEAM

We’re looking for an Executive Assistant who loves being at the center of a fast-moving business and making things happen behind the scenes. Supporting VASA’s Chief Operating Officer and Chief Growth Officer, you’ll work at the center of a growing, multi-location organization and regularly coordinate across Operations, Growth, Marketing, Finance, HR, IT, and other teams.

 

This role starts with strong executive support—managing complex calendars, email, travel, and competing priorities—but there’s a lot more to it. You’ll help prepare for QBRs, board meetings, and leadership meetings; coordinate presentations, agendas, events, and team travel; and keep track of follow-ups and deliverables so things continue moving after the meeting ends. You’ll also work closely with other Executive Assistants and teams across VASA, giving you exposure to many different areas of the business.


We’re looking for someone who builds strong relationships, communicates well, and is comfortable taking initiative. You should be confident enough to keep busy executives on track, redirect when priorities compete, and follow up when something needs attention—all while being thoughtful about the relationships you’re representing on their behalf.

PURPOSE

 

The Executive Assistant to the COO & CGO serves as a strategic partner and trusted extension of the executive leadership team. This role is responsible for maximizing the effectiveness of both the Chief Operations Officer and Chief Growth Officer by managing priorities, protecting time, and ensuring seamless execution of day-to-day operations.

Operating with a high level of autonomy, judgment, and discretion, this role acts as a gatekeeper, facilitator, and connector across the organization. The Executive Assistant ensures alignment across leadership, anticipates needs, and enables both executives to remain focused on the highest-impact opportunities.

 

KEY RESPONSIBILITES AND COMPETENCIES

Executive Partnership & Prioritization

 

  • Serve as a strategic partner to the COO and CGO, helping prioritize time, focus, and energy against key business objectives
  • Proactively manage and optimize complex, dynamic calendars across both executives, ensuring alignment and minimizing conflicts
  • Act as a gatekeeper, making informed decisions on meeting requests, scheduling trade-offs, and competing priorities
  • Anticipate needs and remove friction from day-to-day workflows

 

Strategic Communication & Alignment

  • Serve as a central point of coordination between the COO and CGO, and senior leadership team
  • Ensure clear, timely communication of priorities, updates, and follow-ups across stakeholders
  • Draft and refine high-level communications on behalf of executives
  • Represent executives in meetings when appropriate, capturing key insights and ensuring follow-through

 

Meeting & Leadership Rhythm

 

  • Drive preparation for executive meetings, leadership sessions, board-related engagements, and finance-related meetings
  • Ensure both executives are fully prepared with relevant context, materials, and key talking points
  • Capture notes, decisions, and action items, ensuring accountability and follow-through
  • Help maintain consistent leadership and financial operating rhythms

 

Execution & Operational Support

  • Coordinate complex domestic travel for both executives, including flights, accommodations, ground transportation, and detailed itineraries
  • Ensure all travel is optimized for efficiency, productivity, and adaptability, anticipating contingencies and last-minute changes
  • Prepare comprehensive travel briefs, including schedules, contacts, meeting context, and logistics
  • Manage executive-level events, offsites, board meetings, and key external engagements
  • Handle sensitive and confidential information with the highest level of professionalism
  • Prepare presentations and materials for leadership meetings, board discussions, and financial reviews

Preferred Qualifications

QUALIFICATIONS

  • 5+ years’ experience supporting C-level or senior executives in a fast-paced organization
  • Experience supporting multiple executives simultaneously preferred
  • Bachelor’s Degree preferred
  • Demonstrated ability to operate with discretion, sound judgment, and autonomy
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication skills
  • Proven ability to manage competing priorities at the executive level

WORKING CONDITIONS

Primary work in a fitness facility and office setting. Temperature variations can occur. The environment includes some ambient noise such as talking and use of gym equipment and machinery.

PHYSICAL AND MENTAL ACTIVITIES AND REQUIREMENTS

  • Talking: Especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly.
  • Physical Strength: Sitting, standing, and walking. Must be able to lift, push, pull, and move a minimum of 30 pounds.
  • Reasoning Ability: Ability to deal with a variety of variables under limited standardization. Able to interpret various instructions and relay instructions to clients.
  • Attendance is an essential duty of the position. Employees must work regularly scheduled shifts, during business hours to assist members and sell services in-person.
