About Archy

Smile! Those teeth you are showing deserve the best care you can give them, yet the status quo of the software your dentist uses today is outdated.

Archy is a Series C vertical SaaS solution revolutionizing the dental practice management space — giving dental providers AI agents and software that lets them do what they do best (be dentists!) while we handle the more technical sides of running their practice business

Job Description

This is our first Executive Assistant hire, supporting three members of our founding and executive team: our CEO, COO, and CTO. Though you'll work remotely, our preferred work location will be in Central Standard Time (CST) or Mountain Standard Time (MST) to manage daily prep more effectively. Be the person who makes their weeks work, bringing structure, organization, and thoughtful coordination to a fast-moving environment. This role is ideal for someone who has operated in an early-stage startup, thrives in ambiguity, anticipates what’s needed, and is excited to build the Executive Assistant function at Archy from the ground up.

This is not a task-taking role. You'll be making judgment calls daily about what deserves an executive's time, what can wait, and what shouldn't happen at all. You'll have visibility into highly sensitive and confidential information across nearly every part of the company, and we’ll expect you to handle that access with exceptional discretion and judgment. Just as importantly, you'll use that context to anticipate needs and get ahead of problems rather than react to them.

Job Responsibilities

  • Calendar Management: Own complex calendars for three executives, using judgment to prioritize competing demands, protect focus time, and structure days around the highest-impact work.

  • Travel Coordination: Own end-to-end domestic travel, including flights, hotels, ground transportation, and detailed itineraries, with the ability to quickly adjust when plans change.

  • Meeting Preparation & Follow-Through: Ensure agendas and pre-reads are ready in advance, capture key decisions and action items, and drive follow-through on commitments.

  • Executive Communication: Serve as a trusted extension of the executives you support, communicating with professionalism, sound judgment, and discretion across internal and external stakeholders.

  • Board & Investor Coordination: Manage scheduling and logistics across board members, investors, and internal stakeholders, and ensure follow-ups don’t fall through the cracks.

  • Event Planning: Coordinate leadership offsites, team and customer dinners, and key company events, including our annual company offsite and user conference.

  • Executive Operations: Manage expense reporting, vendor and subscription administration, and route contracts and requests to the appropriate owners.

  • Cross-Functional Follow-Through: Keep priorities moving by proactively following up with senior leaders on deadlines, decisions, and commitments on behalf of the executives you support.

Job Requirements

  • Proven Executive Support: 5+ years supporting senior executives, ideally including a founder or C-suite leader at a high-growth company, with experience supporting multiple executives at once.

  • Sharp Judgment & Escalation: Ability to make sound independent decisions, filter incoming requests, say "no" on an executive’s behalf, and know when to resolve versus escalate.

  • Uncompromising Discretion: Proven track record handling highly sensitive, confidential strategic and operational information with exceptional integrity.

  • Proactive Anticipation: A forward-thinking mindset that identifies friction, predicts needs, and solves problems before they reach executive attention.

  • Versatile Written Communication: Exceptional written communication skills, with the ability to draft convincing external and internal messaging in someone else's voice.

  • Relentless Follow-Through: Systems-driven organization with an infallible personal framework for tracking action items and driving commitments across teams.

  • Adaptability & High Tempo: Comfort operating in ambiguity and changing environments, pivoting seamlessly as company priorities shift.

  • Confident Accountability: Direct, professional communication style with the confidence to hold senior leaders accountable to key deadlines and deliverables.

  • Modern Tooling & AI Leverage: Fluency with Google Workspace and Slack, alongside a habit of leveraging AI tools and workflow automation to move faster and optimize output.

  • Foundational Function Building: Ideally, experience as the first or founding EA at a company, building out processes and administrative infrastructure from the ground up.

  • Location Alignment: Preferred work location within or strongly overlapping with Central Standard Time (CST) or Mountain Standard Time (MST).

What We Offer

  • Health & Wellness: Comprehensive medical, dental, and vision coverage for you and your family, plus Spring Health and One Medical access.

  • Competitive Compensation: Base pay and equity, 401(k) with company match, and performance-based incentives (bonus or commission eligibility by role).

  • Flexibility & Remote Support: Full remote-friendly culture, home office stipend, and flexible time off to rest and recharge (policies vary by role).

  • Team Connection: Annual all-company offsites to collaborate and connect in person.
