We’re seeking a highly organized and adaptable Executive Assistant with strong people skills to join our team and support the seamless execution of day-to-day operations for our executive leadership. This role is ideal for someone who is skilled in building rapport and leveraging networks, who anticipates needs and finds solutions, who remains calm under pressure and adapts quickly to changing circumstances, and who enjoys supporting the success of others.Job Description
Responsibilities:
- Provide administrative support for senior-level executives, anticipating needs and proactively addressing them
- Own and manage complex executive calendars, balancing competing priorities and ensuring alignment with strategic goals. Arrange internal meetings, external appointments, conference calls, and conference rooms
- Screen calls and emails, identifying and tracking high-priority items and deadlines. Provide appropriate responses in coordination with the executive
- Initiate and respond to executive correspondence, handling confidential and non- routine information with discretion
- Provide exceptional hospitality to guests, consistently going above and beyond to ensure a welcoming environment and a high level of customer service
- Coordinate and book travel in alignment with corporate policies and executive preferences. Anticipate potential travel changes and/or disruptions and adjust travel plans accordingly (often highly time-sensitive)
- Prepare and reconcile expense reports, obtain receipts, and ensure accurate credit card charge reconciliation
- Track action items and deadlines, ensuring timely follow-up and completion
- Perform advanced tasks using Microsoft Office Suite, including creating, editing and updating documents, presentations and spreadsheets Meeting and Event Planning
- Organize and facilitate large team events and special projects, sometimes acting as project manager
- Coordinate, schedule, and manage logistics for internal and external meetings, leadership offsites, client engagements, and high-profile events.
- May include pre-registration/registration of guests at meeting locations, greeting guests upon arrival, group hotel booking, catering arrangements, restaurant reservations, and group activities.
What We’re Looking For:
- 5+ years of experience in executive support, operations, project coordination, or business administration
- Demonstrated success in managing complex executive calendars and event logistics
- Experience supporting or working closely with executive leadership
- Excellent organizational and time-management skills with strong attention to detail
- Strong written and verbal communication skills
- Comfort working independently and navigating ambiguity
- Proficiency in tools such as Microsoft Office, Teams, and project/task management platforms (e.g., Workday, Concur)
- Ability to maintain discretion and confidentiality
- Demonstrated ability to develop positive relationships with people inside and outside of the organization, digitally, on the phone, and in person with executives
- A hospitality mindset - a desire to go the extra mile to create memorable experiences and exceed the expectations of others
Preferred Qualifications:
- Experience in a large corporate or global organization
- Experience coordinating offsites, meetings, or corporate events
- Experience in hospitality is a plus

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
