Waldorf Astoria New York's Restaurant Collection, including Lex Yard, Yoshoku and In-Room Dining, is seeking a Hospitality Event Coordinator who will play a pivotal role in creating exceptional private dining events, celebrations, and bespoke guest experiences across multiple luxury venues. This role requires an individual with exceptional organizational skills, attention to detail, and a passion for Forbes 5-Star hospitality. Acting as the primary operational contact for clients following the sales process, you will coordinate every aspect of the event journey, from menu planning and timelines to VIP amenities, personalized experiences, and on-site execution. Working closely with culinary, beverage, restaurant operations, reservations, finance, and event teams, you will ensure seamless coordination and flawless delivery while balancing the unique needs of several distinct outlets. The ideal candidate is a proactive relationship builder who thrives in a fast-paced luxury environment and is committed to creating memorable experiences that reflect the sophistication, creativity, and world-class service synonymous with Waldorf Astoria New York.

As a Hospitality Event Coordinator, you’re not just greeting and escorting guests in one of our dining outlets – you’re spreading the light and warmth of hospitality by delivering memorable experiences that make the stay for every guest.

Responsibilities

Here's what you'll do during a typical day:

  • Bring exceptional events to life: Coordinate private dining experiences, receptions, and special events across restaurant outlets and hospitality suites, providing responsive support from contract execution through flawless delivery.
  • Create personalized guest experiences: Collaborate with clients to understand their vision, coordinate custom menus, service details, and special requests that make each event memorable
  • Coordinate across teams: Partner closely with culinary, beverage, restaurant operations, reservations, finance, and event teams to ensure every detail is communicated and executed seamlessly
  • Manage event details with precision: Prepare and update Event Orders, track key milestones, and ensure all event information is accurate and distributed to stakeholders
  • Deliver white-glove service: Provide on-site event support when needed, proactively address requests, and ensure an exceptional guest experience that reflects Waldorf Astoria's luxury standards
  • Drive operational excellence: Utilize Delphi and ONQ to manage event records, support billing and post-event processes, analyze event performance, and identify opportunities to enhance efficiency and revenue
