Title: Office Manager & People Coordinator

Location: Chicago, IL


Overview

We are looking for a hybrid of an Office Manager & People Coordinator who is excited to join a fast-growing company and contribute to the environment. This person will be working closely with the People team and also the entire company. A successful candidate must be able to prioritize, and be proactive in managing their own calendar, planning/scheduling and communication skills.


Responsibilities

  • Reception: Be the face of the company by sitting at the front of our office. Undertake the tasks of greeting our guests, meeting administration, receiving/routing calls, taking messages, and handling requests/queries (we use Jira) appropriately.
  • Office management: Order supplies for kitchen, computer or paper supplies, ordering team lunches, and assist IT with computer inventory.
  • Human Resource Administration: Assist in the day to day operations of human resources including onboarding, benefits, payroll, event planning etc.
  • Recruitment Coordination: Working closely with our Recruiter to leverage our ATS (Greenhouse) to coordinate onsite interviews for hiring managers. Set up post interview candidate debriefs for hiring teams. Help ensure a positive overall interview experience for candidates.
  • Onboarding: Help facilitate a positive experience for new hires including sending out first day welcome emails, desk set up, putting together our “Swag Boxes,” scheduling of meetings for new hires first week among other things.


Qualifications

  • 1-3+ years of administrative support/executive assistant experience.
  • Desire to work and learn about HR & Recruiting.
  • Discretion and confidentiality.
  • Experience working with Google docs, calendar and Gmail at a mid to high level of proficiency.
  • Exemplary planning and time management skills.
  • Ability to multitask and prioritize daily workload.
  • High level organizing, planning, oral, and written communications skills.
  • Problem solving ability.
