Summary:
The Human Resources Coordinator provides recruiting and operational support as part of the HR team to ensure smooth day-to-day operations. Reporting directly to the Director, HR Affiliated Business Partner, this role focuses on executing recruitment logistics, candidate preboarding, onboarding execution, and general administrative initiatives.
This position operates on a hybrid schedule, requiring on-site presence in the office Monday through Thursday from 8:30 AM to 5:00 PM, with remote work available on Fridays.
Responsibilities:
- Candidate Sourcing & Screening: Post open positions on approved job boards, perform initial candidate sourcing, review applications against basic job requirements, and conduct preliminary phone prescreens under the guidance and direction of the Director, HR Affiliated Business Partner to support business unit needs.
- Interview Logistics & Manager Support: Partner with hiring managers to schedule and coordinate all interview stages (phone, virtual, and in-person), serve as a welcoming primary contact for candidates, send reminders, and collect candidate evaluation feedback.
- ATS & Agency Administration: Maintain candidate records and status updates in the Applicant Tracking System (ATS), pull basic recruiting metrics, and handle administrative liaison tasks for external staffing agencies once approved by leadership.
- Preboarding Support: Run background checks, request reference checks, and draft standard offer letters using pre-approved templates for review by the Director, HR Affiliated Business Partner.
- Logistics: Partner cross-functionally with IT, Facilities, and Payroll to ensure equipment, system access, and workspaces are prepared prior to new hire start dates.
- Onboarding Execution: Execute standard onboarding checklists and administer the established orientation schedule. Collect required employment paperwork and handle routine administrative setup for new hires.
- Training Schedule Coordination: Coordinate calendar invites and session logistics for new hire training based on schedules established by hiring teams.
- Internal Communications: Format and distribute routine digital employee newsletters and departmental announcements as requested.
- General Department Support: Provide administrative support for general HR programs, personnel file maintenance, and special departmental projects under the guidance of the Director, HR Affiliated Business Partner.
Salary Range:
$52,000-$62,000
Requirements
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 1–3 years of administrative experience in Human Resources, with direct experience supporting recruiting operations and interview scheduling.
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets) and prior exposure to Applicant Tracking Systems (ATS) or HR software.
- Strong organizational and time-management skills with high attention to detail, particularly when managing multiple schedules and candidate communications.
- A collaborative mindset with excellent written and verbal communication skills and a friendly, professional approach when interacting with internal teams and external candidates.
- Basic understanding of employment practices and strict adherence to confidentiality; ability to manage routine tasks independently while operating as a collaborative team member.
