Job Description
Scope of Responsibilities / Expectations
Job responsibilities include, but are not limited to the following:
Provide support for Chief Information Officer & Direct Reports with scheduling, calendar management, message correspondence, travel arrangements, meeting logistics, phone screening, and expense reporting.
Coordinate group meetings, team/training events and handle all meeting logistics such as venue, catering, agenda/meeting minutes, etc.
Support in assigned project based work as necessary (slide preparation for town halls, operations reviews, leadership meeting prep work, video creation, etc)
Provide support for IT-related communications (including drafting, editing, distributing, etc)
Assist in report generation, data analysis, and creation of charts and presentation material
Manage activities related to onboarding contractors (work orders, invoice receiving, Visa work, badging, etc)
This position will report to the Chief Information Officer and will be a flexible hybrid role in the Chicagoland area.
Desired Background/Knowledge/Skills
3-5+ years of administrative experience
Strong proficiency with office productivity projects (Google products such as Gmail, Google Docs, Google Sheets, and Google Slides, or Microsoft Office such as Excel, Work, Outlook, Power Point).
Proven experience as an administrative assistant or in other related position
Excellent oral and written communications skills; organization and planning skills
Strong problem-solving skills; willingness to assist where needed and solve problems as they arise (scheduling conflicts, logistical issues, etc)
Ability to prioritize workload in order to carry out tasks and responsibilities in a professional and independent manner
Ability to multi-task and handle many diverse activities and functions at one time
Must be able to manage a diverse, complex, high volume workload; think proactively, creatively, independently, and analytically
Must have a professional, team-focused demeanor at all times, especially when dealing with high-level customer/partner contacts

Basic Requirements
3+ years of administrative experience
1+ years of experience in Google Products AND/OR Microsoft Office
Legal authorization to work in the U.S. indefinitely is required. Employer work permit sponsorship is not available for this position.
