Coordinate and track client IT projects from initiation to close, manage schedules, staffing, budgets, and documentation, serve as primary client contact, resolve issues, liaise with vendors and procurement, ensure accurate time/billing, and conduct post-project reviews.
PROJECT COORDINATOR - On-Site
Aqueity is looking for an IT Project Coordinator who will be responsible for assisting the projects team in coordinating, scheduling, and administering IT-related initiatives for clients. Requires a high level of urgency, professionalism, excellent communication and organizational skills, and the ability to interact effectively with internal teams and clients.
RESPONSIBILITIES:
- Coordinate client projects from initiation through completion, tracking milestones, timelines, budgets, and deliverables across multiple concurrent engagements, supporting appropriate resource assignment throughout
- Serve as the primary point of contact for clients throughout project delivery, proactively communicating status, risks, and scheduling changes and escalating complex or sensitive issues as appropriate
- Own the scheduling and staffing of recurring client onsite visits, ensuring appropriately skilled resources are assigned and coordinating with client contacts to keep visits on schedule and manage changes
- Create and maintain projects within ConnectWise, ensuring accurate and up-to-date records throughout the project lifecycle
- Facilitate issue resolution between internal teams and clients as needed
- Coordinate with third-party vendors as needed throughout project delivery
- Liaise with the procurement team to align hardware and software delivery timelines with project schedules
- Monitor project scope and flag change order requirements, ensuring the established process is followed through to completion
- Coordinate cross-departmental communication around key project milestones to ensure internal teams are aligned and prepared
- Ensure project time is logged accurately and against the correct project for billing purposes
- Maintain accurate project documentation, meeting notes, action items, and implementation records
- Conduct post-project reviews and document lessons learned
EDUCATION & EXPERIENCE
- Associate degree in Business, Information Technology, Project Management, or a related field, or equivalent professional experience
- Minimum of 2 years of experience in a Project Coordinator, Project Administrator, or similar role
- Experience managing multiple concurrent projects in a fast-paced environment
- Experience managing professional client relationships in a business-to-business environment
- Ability to manage and prioritize a high volume of concurrent responsibilities without missing deadlines or deliverables
- Excellent verbal and written communication skills with the ability to adapt across audiences, from clients to internal technical teams
- Ability to build and maintain professional client relationships
- Sound problem-solving skills with the ability to exercise independent judgment in unstructured or fast-moving situations
- Meticulous attention to detail
PREFERRED:
- Working knowledge of IT infrastructure concepts and common project types, including network infrastructure, cloud migrations, and client onboarding
- Experience with ConnectWise or a similar PSA platform
- Experience working for a Managed Services Provider (MSP) or IT consulting firm
