Join our East Coast Regional Litigation Docketing Team as a Litigation Docketing Specialist located in one of the following offices: Miami, Fort Lauderdale, West Palm Beach, Tampa, Tallahassee or Orlando.

This role will be based out of one of the following offices: Miami, Fort Lauderdale, West Palm Beach, Tampa, Tallahassee or Orlando. The position is hybrid remote with varying in-office schedules depending on office location. This role reports to the Litigation Docketing Supervisor.

Position Summary

The East Coast Regional Litigation Docketing team is a group of experienced legal professionals who have chosen to channel their strong litigation skills into the focus area of calendaring management.  The team provides centralized docketing using ProLaw for multiple offices including several national practice area groups. We are looking for a candidate to join the East Coast Regional Team of Litigation Docketing in the role of Litigation Docketing Specialist with litigation experience in Florida. We are considering candidates who can work remotely but live in close proximity to one of our six Florida offices. Candidate should also be flexible to work overtime as needed.

Key Responsibilities

  • Reviews emails received within each assigned public folder comprised of internal emails from case teams, scanned mail and ECF filings/serves to determine docketing necessity
  • Makes informed decisions as to whether the docket items qualify to be added to each case teams' Outlook calendar
  • Assesses and stages priority of all received items to create a queue for each public folder
  • Enters and updates applicable deadlines in ProLaw using the Westlaw Legal Calendaring Rules.
  • Communicates with case teams to gather necessary information on case set-ups and management
  • Performs limited research as needed in the context of verifying applicability of deadlines
  • Responds to inquiries from the litigation teams regarding docketed events, deadlines, and rules
  • Maintains and strives to improve processes and procedures to ensure accurate entry of calendar/docket dates
  • Promotes the firm’s docketing policies and procedures through all communications with litigation teams

Qualifications

Skills & Competencies

  • Substantial experience computing deadlines for state, federal and appellate courts
  • Strong knowledge of litigation processes, court rules and procedures
  • Strong critical thinking skills to process complex orders and analyze effects on other case deadlines
  • Ability to research, analyze and summarize issues in writing and possess excellent attention to detail
  • Familiarity with various court websites, docket searching and document retrieval databases
  • Ability to establish and maintain effective working relationships with all levels of the organization and collaborate well in a team
  • Candidate must be a self-starter who can work independently with minimal supervision
  • Position also requires the ability to work under pressure to meet strict deadlines, effectively prioritize multiple tasks
  • Excellent interpersonal and communication skills (oral and written), professional demeanor and presentation
  • High attention to detail, outstanding organizational skills, and the ability to manage time effectively

Education & Prior Experience

  • Bachelor’s Degree or equivalent experience preferred
  • Minimum 7 years of current Florida Litigation experience on case teams and 7 years of current Federal Litigation experience
  • Prior litigation paralegal or legal secretary experience preferred
  • Prior work experience in large firms preferred

Technology

  • Prior experience with rules-based calendar systems (ProLaw, Compulaw or eDockets software) required
  • Computer proficiency in Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook and Adobe Acrobat
  • Exceptional computer skills with the ability to learn new software applications quickly
  • Demonstrates a basic understanding of artificial intelligence (AI), including core capabilities, limitations, and importance of data privacy, accuracy, verification, and ethical considerations within a professional services environment
  • Familiarity with or willingness to learn AI platforms (e.g., Microsoft Copilot, ChatGPT, or similar tools) and incorporate them responsibly into day-to-day workflows to enhance daily work tasks as appropriate and/or directed
  • Proactive approach to learning and adapting to emerging AI and related technologies and contributes to a culture of innovation
