We are seeking an experienced, highly organized Office Manager/Payroll Specialist to play a key role in supporting our accounting, payroll, employee administration, and day-to-day office operations.
We are looking for someone who is comfortable owning critical financial and payroll processes, keeping details organized, meeting deadlines, and ensuring information is accurate. The right person will be proactive, dependable, and able to manage multiple priorities independently while serving as an important resource to employees, vendors, and leadership.
Office Manager/Payroll Specialist Compensation & Benefits:
- We offer a competitive compensation package including an annual base salary of $75,000-$85,000

Office Manager/Payroll Specialist Responsibilities:
- Manage day-to-day accounts payable and accounts receivable, including client payments, vendor payments, outstanding invoices, expense tracking, bank deposits, and account reconciliations.
- Coordinate and process payroll, including reviewing employee hours, verifying wage rates and project information, reconciling payroll deductions and taxes, and completing payroll-related reporting.
- Manage certified payroll documentation, union labor reporting, workers’ compensation reporting, and other payroll compliance requirements.
- Support employee benefits administration, including enrollments, payroll deductions, PTO tracking, and annual open enrollment.
- Maintain accurate employee records and assist with new hire onboarding, offboarding, payroll setup, and required employment documentation.
- Serve as a primary administrative contact for vendors, insurance providers, regulatory agencies, licenses, certifications, vehicle registrations, and other business compliance needs.
- Other responsibilities as required.
Office Manager/Payroll Specialist Requirements:
- 5+ years of progressive accounting, payroll, bookkeeping, or related administrative experience, preferably in construction or a project-based environment.
- Associates degree or equivalent coursework in accounting preferred.
- 2+ years of office administration responsibilities.
- Proficiency with Paychex, QuickBooks and Microsoft Office.
- Flexibility to adapt to changes in procedures and job assignments.
- Knowledge of generally accepted accounting principles and practices.
- Strong organizational skills.
- Adaptable and proactive.
- Ability to work independently.
- Excellent communication skills, both written and verbal.
