This position follows a flexible hybrid schedule with at least 3 days per week on-site at our Rosemont HQ office.
We are looking for an Administrative Assistant that enjoys wearing many hats, is proactive and is comfortable handling a wide range of administrative and executive support-related tasks. We are looking for someone who is well organized, flexible and can juggle multiple tasks at once. This role provides exceptional customer service and top-notch administrative support to employees and external stakeholders.
Responsibilities
- Responsible for all administrative and facilities management-related tasks for the Rosemont office
- Serve as office receptionist, being available to answer phones, take messages, and be the first point with anyone entering our Rosemont office (receives packages, greets guests & interviewees, etc)
- Coordinate logistics to complete necessary projects including but not limited to office-wide events and meetings, company parties, etc.
- Maintain a clean and visually appealing environment in the office
- Partner with proper functions/employees in the oversight and management of key events, onboarding needs, and seat assignments of employees and visitors
- Oversee ordering of office supplies & snacks to maintain proper inventory
Requirements
- 5+ years of transferrable professional experience
- Ability to manage a high volume of inbound requests and prioritize effectively
- Extremely organized with exceptional attention to detail
- Excellent relationship-building skills
- Strong written and verbal communication skills
- Experience with Microsoft Office Suite
- Must be able to work in the office when needed (most likely 3 days per week)
