We are seeking an experienced, driven Executive Assistant. This is a fast-paced, multi-faceted environment and we are looking for someone with outstanding interpersonal skills who multitasks well and can manage people and priorities in a group environment. This person not only acts as an Executive Assistant to the executive(s) they support, but will also be responsible for providing various administrative tasks for the team as well as be the to-go-to person.
What You'll Bring
2+ years’ experience providing support to multiple executives or senior level management
Strong organizational skills that reflect the ability to complete assignments accurately within given deadlines, and prioritize multiple tasks seamlessly with excellent attention to detail
Quick adaptation and flexibility to changing priorities and deadlines
Ability to perform overall duties and responsibilities of this position with minimal to no direction
Pro-activity and sense of urgency
Exemplary interpersonal skills and ability to develop relationships with key stakeholders, acting as an extension of supported executive(s) and a cornerstone to the team
Advanced technical capabilities and knowledge of Microsoft Outlook, Word, PowerPoint, Excel
Previous knowledge of ADP, Concur and Microsoft Teams is preferred
Drive, energy and adaptability
Strong written and verbal communication skills
Bachelor's degree or equivalent preferred
Impact You'll Make
Anticipate and prepare the executive’s schedule and work to ensure priorities are fulfilled. You will work with the executive to ensure the most effective use of their time.
Work closely and effectively with the executive; you’ll keep the executive well-informed of upcoming commitments and/or responsibilities as needed. Additionally, you’ll proactively follow up on administrative/operational duties associated with executive’s area of responsibility.
Initiate, establish and communicate department meetings on behalf of the executive. After meetings, you will follow-through on necessary action items expeditiously.
Manage and arrange domestic and international travel plans/itineraries (including visa applications).
Process and complete executive’s expense report(s) as needed and reconcile corporate credit card account(s).
Coordinate food and beverage requests for executives, their group, meetings and/or events.
Book meeting room(s)/ensure the proper virtual meeting requirements for the team are taken care of.
Create/update decks in PowerPoint and run presentations during meetings.
Handle logistics for on/off-site conferences, Town Halls, internal associate celebratory/appreciation events, and other tasks as needed.
