As an Executive Assistant at Caterpillar you provide high-level administrative support to the Vice President and their direct reports. In return you will receive a competitive salary, outstanding benefits package, and join a dynamic and collaborative team.
Responsibilities will include:
- Administrative support tasks to include; all aspects of travel, logistics including scheduling and organizing conference calls, on-site/off-site meetings and events, and providing a professional customer service presence.
- Serve as the liaison between the Vice President, peer Vice Presidents and Group President/Executive Office; prepare executive materials, distribute information, and schedule meetings.
- Draft and edit correspondence, newsletters and announcements; manage all communication between Vice President and their organization; to include clients, customers, dealers, suppliers and staff members.
- As needed support of the direct reports of the Vice President located in the Chicago Office.
- Support the monthly, quarterly and annual governance and meeting cadence processes for the division.
- Manage all expense reporting, charitable contributions, and invoicing.

Qualifications
Basic Requirements:
- Associates Degree
- 5+ years of experience supporting C-Suite executives with global responsibilities including:
- Global calendar management experience
- Experience scheduling/coordinating global meetings and travel in multiple time zones
- Experience with Microsoft 365 collaboration suite (Outlook and Teams) and Concur travel system
Top Candidates Will Also Have:
- Bachelor's degree
- Excellent communication, collaboration and interpersonal skills
- Exceptional skills in Microsoft Outlook, Word, Excel and PowerPoint
- Ability to maintain confidentiality
- Agility to make adjustments quickly and with poise
- Ability to execute and "get things done" in a highly visible, fast pace environment while using independent discretion and judgement to solve complex problems related to prioritization and scheduling projects and meetings
This position will be located in the downtown Chicago area.
