What You’ll Do:
As our Office Administrator, you are energetic, organized, and enjoy helping others. You are the first and last point of contact with our team members and guests each day, ensuring they are welcomed and assisted as necessary.

Your Responsibilities:
Experience
Manage our in-office experience including greeting guests, ordering supplies, managing deliveries, and ensuring our welcome area is neat and clean
Liaise with building management to ensure all guests and employees have appropriate access to our office suite and amenities
Physical Space
Coordinate and manage the maintenance of our kitchen equipment, meeting spaces, and workstations as needed
Ensure our communal spaces are guest ready at the start and end of each day
Manage company inventory including all hardware, kitchen items, and office supplies
Administrative
Order, issue, and recover appropriate hardware and software for employee on-boarding, promotion, and termination as necessary
Research, coordinate, and schedule office and equipment vendors including building contractors/inspections, maintenance, installation, and deliveries.
Support large office events, lead small office events
Requirements:
Demonstrated experience in a facilities management or customer service role
Strong and clear communication skills both written and verbal, and an ability to converse easily with anyone and everyone
Commitment to paving the path to resolution for key work projects
Proven ability to multitask and work well under pressure
Computer skills: strong familiarity with Google software (GCal, GDocs), Apple hardware, and various other web applications strongly preferred
Daily Tasks:
Ensure conference rooms are neat, well stocked (markers, erasers, Jabra, adapters, notepads, pens), and visitor ready
Ensure kitchen is neat, well stocked, and team member ready
Manage meeting space calendar to ensure space is freed when available and used in line with our company needs
Update guest welcome sign and company highlights
Projects as assigned
Weekly Tasks:
Supply closet inventory
Tech closet inventory
White board maintenance
Review operating expenses and update notes in Expensify
Projects as assigned
Monthly Tasks:
Audio visual setup and breakdown for in-office events
Ensure open workspaces are clean and “open” for use
Maintain activity calendar for team member outings, all-office events, etc.
